Qualifications

  • Knowledge of general office procedures (e.g., scheduling, expenses, calendar).
  • Excellent telephone etiquette.
  • Superior oral and written communication skills.
  • Tact and good judgment in confidential situations and proven experience interacting with senior management.
  • Ability to adapt procedures, processes, and techniques to complete assignments.

Responsibilities

  • Manage and handle complex and detailed calendars, addressing multiple and/or urgent meeting conflicts, and setting up meetings and conference calls, both internally and externally.
  • Operate effectively in a fast-paced, ever-changing environment, managing multiple priorities with a calm, professional, and proactive attitude.
  • Answer phones professionally, address issues or redirect as appropriate, and distribute messages in a timely and appropriate manner.
  • Coordinate travel arrangements (air, hotel accommodations, and ground transportation); prepare detailed itineraries, required travel visas/documents, and ensure accuracy and timely delivery of plans/tickets to travelers.
  • Process invoices and T&E expense claims promptly. Ensure all policies are followed and items are processed within provided guidelines. Act as a subject matter expert for policies and procedures.
  • Assist with setting up meetings and preparing, circulating, and tracking meeting agendas, materials, and follow-up actions.
  • Maintain key HR activities calendars and schedules, ensuring effective coordination of meetings, events, leadership visits, and critical deadlines.
  • Create and format PowerPoint presentations, reports, and other presentation materials as required.
  • Support HR projects, communications, events, and other administrative initiatives across Singapore HR.
  • Assist with overflow work, special projects, assistant back-up coverage, and day-to-day operational requirements.
  • Provide general administrative support for Singapore HR and take on additional responsibilities as required.
