Job summary

Harmony Funeral Care Private Limited is seeking an Administration & Operations Executive to support daily funeral operations. The role requires meticulous, independent and proactive individuals who can manage funerals with accuracy and timeliness.

You will handle documentation, vendor coordination, invoicing and customer communication in a fast-paced environment with a 5.5-day work week and options to combine days off. Training will be provided.

Qualifications

• Prior experience in administration, operations coordination or a similar role is preferred.
• Strong organisational skills and the ability to manage multiple tasks simultaneously.
• Excellent attention to detail, especially with important documents, names, dates and deadlines.
• Able to work independently with minimal supervision.
• Strong problem-solving skills and initiative to find solutions.
• Good time management and ability to prioritise urgent tasks.
• Proficient in Microsoft Office, particularly Word and Excel.
• Comfortable with digital tools and learning new systems.
• Good written and verbal communication skills.
• Able to remain calm in a fast-paced environment.
• Responsible, reliable and committed to completing tasks accurately and on time.

Responsibilities

• Funeral Documentation & Administration: liaise with bereaved families, prepare funeral materials, process cremation and export documents, ensure timely submission and keep records.
• Vendor & Operations Coordination: review sales orders, coordinate with suppliers, track delivery timelines, liaise with internal teams.
• Billing & Invoicing: prepare and issue invoices, ensure accuracy, assist with payment tracking and accounting tasks.
• Customer Communication & Administrative Support: respond to enquiries via phone/WhatsApp, follow up for information, coordinate post-funeral arrangements.
