Job summary

NTUC First Campus is seeking an Executive, Regulations & Operations to provide essential administrative, coordination, and operational support across the preschool network. The role ensures SOP upkeep, timely communications to centre leaders, and assists with management reports.

Responsibilities include governance, audit support, data consolidation, and event logistics, with a focus on regulatory readiness and efficient operations across the organisation.

Qualifications

  • Minimum Diploma of any discipline.
  • Proficiency in Google Suite (Sheets, Slides, Docs) or Microsoft Office Suite (Excel, Powerpoint, Word).
  • Strong attention to detail, ensuring accurate collation of documentation.
  • Methodical, with the ability to prioritise routine tasks and manage time effectively.
  • Diligent and reliable in working with minimal supervision.
  • Ability to work effectively as part of a team to achieve joint deliverables.

Responsibilities

  • Support the successful license renewal for centres by providing centre leaders close guidance on requirements through virtual and onsite engagements.
  • Collate data from multiple sources for regular and ad-hoc reports, ensuring data validity and presentation clarity.
  • Maintain up-to-date checklists, quizzes and training programmes to support centres in strengthening compliance awareness and meeting regulatory requirements.
  • Update all relevant documentation when changes are made to Standard Operating Procedures (SOPs).
  • Prepare and disseminate communications to centre leaders via standardised templates.
  • Prepare, maintain, and update operational records, reports, and documentation.
  • Assist with data consolidation, tracking, and preparation of management reports.
  • Liaise with Centre teams and internal departments to gather routine information and documentation.
  • Compile initial draft of components within regular management reports in a timely manner.
  • Prepare and organize required documentation, coordinating audit schedules, responding to information requests, and ensuring timely follow-up on audit findings.
  • Support filing, documentation audits, and ensuring information is accurate and compliant with internal standards.
  • Book meeting venues, collate meeting agenda items and disseminate calendar invites to attendees.
  • Manage logistics, including collating attendance, ensuring that technical setup is complete and distributing collaterals to participants.
  • Support staff well-being initiatives, such as gift distribution and office decoration for festive occasions and celebrations.

The Executive, Regulations & Operations provides essential administrative, coordination, and operational support to ensure the smooth functioning of regulatory and business processes across the preschool network. This role supports the upkeep of Standard Operating Procedures (SOPs), facilitates timely communication to centre leaders, and assists with the preparation of management reports. The Executive also plays a key role in coordinating logistics for meetings, events, and staff well-being initiatives, ensuring seamless execution and positive stakeholder experiences. Through reliable documentation, communication, and operational support, the Executive contributes to maintaining regulatory readiness and strengthening overall operational effectiveness across the organisation.

Job Responsibilities
Regulatory Governance & Compliance
