The Executive, Estate & Infrastructure (E&I) supports the day-to-day facilities and estate management operations across the organization's premises. The role is responsible for coordinating maintenance activities, tracking facilities-related matters, conducting site inspections, supporting audit requirements, and engaging internal stakeholders to ensure a safe, functional, and well-maintained environment.
The successful candidate will work closely with centre representatives, vendors, contractors, and internal departments to support operational excellence and business continuity across all sites.
Job Responsibilities:
Facilities Maintenance Triage and Coordination
- Serve as the primary coordinator for internal stakeholders on facilities and maintenance matters.
- Triage and escalation of facilities repairs/ rectification requests to the right approving authority with appropriate rectification recommendations.
- Coordinate facilities-related requests and follow-up actions with centres.
- Support day-to-day estate operations across all sites.
Facilities Management Tracking
- Maintain facilities maintenance trackers and service request records.
- Monitor outstanding maintenance issues and follow up on completion.
- Track vendor service delivery performance for facilities-related works.
Facilities Site Inspection
- Conduct routine facilities and maintenance site visits.
- Carry out inspections relating to maintenance, defects, and operational matters.
- Verify completion of maintenance and rectification works.
- Report site findings and recommend follow-up actions.
Internal Stakeholder Engagement
- Coordinate with centre representatives and internal departments on facilities matters.
- Gather operational feedback and support issue resolution.
- Facilitate communication between centres and the E&I team.
Facilities Audit Support
- Support preparation and coordination of Facilities Audit activities.
- Monitor and track closure of audit findings and corrective actions.
Administration
- Facilitate payment and approvals for facilities-related services rendered
Continuous Improvement
- Propose, recommend, and implement process improvement initiatives relating to faults and facilities management scope of work.
Business Continuity Support
- Provide operational coverage during staff absence and peak workload periods.
- Support ongoing facilities operations and estate management activities to strengthen business continuity within the team.
Job Requirements:
Educational Qualifications
- Diploma/Degree in Real Estate, Facilities Management, Business Administration, Project Management or related field. (3–5years of relevant experience for diploma holders).
Relevant Experience
- Familiarity with government regulations, building codes, and property laws
- Knowledge of ISO standards and audit processes is an advantage
- Basic knowledge of Mechanical & Electrical (M&E) systems, including air-conditioning, electrical, fire protection, plumbing, and building services will be advantageous.
Competencies
- Ability to communicate effectively to ground staff and senior leadership.
- Ability to multi-task and perform project management tasks and documentation
- Good vendor management skills
- Proficient in MS Office, asset tracking software, and ERP systems
- Ability to analysis facilities and process-related issues and triage issues based on urgency and severity.
