Job summary

ST Engineering offers an entry-level internship in its Cyber Team focusing on business operations, administration, governance and stakeholder coordination. The role provides structured guidance, on‑the‑job training and development opportunities to build a career in operations and compliance.

The successful candidate will assist in day-to-day administration, documentation, procurement, audits and coordination with various functions.

Qualifications

Responsibilities

  • Provide administrative and operational support to the Line of Business, including coordinating meetings, documentation, approvals and follow-up actions
  • Maintain accurate records of operational tasks, handovers and action items, and follow up with relevant stakeholders to support timely closure
  • Assist management and team members with day-to-day administrative matters, including clocking and travel arrangements
  • Support procurement activities, including requests for quotation, purchase orders, invoice tracking and coordination of goods receipt
  • Coordinate with vendors, Finance and internal stakeholders to address procurement and billing matters
  • Maintain documentation and support compliance with internal procurement processes
  • Provide coordination and administrative support for internal audits, compliance reviews and governance-related activities
  • Assist with collating, maintaining and submitting audit documents and supporting evidence
  • Follow established internal policies and procedures to meet governance requirements
  • Assist in coordinating facilities-related matters, including office upkeep and infrastructure works
  • Support coordination with vendors and internal teams on facilities-related activities
  • Assist in planning and coordinating staff welfare and engagement activities
  • Support welfare committees in organising activities that promote team cohesion and morale
  • Prepare, maintain and update operational documents, reports and presentations using templates
  • Support management reporting by consolidating inputs and preparing presentation materials

The role supports the smooth execution of day-to-day business operations, compliance with internal governance requirements, effective coordination across stakeholders, and staff engagement and welfare initiatives.

Working under the guidance of experienced team members, the successful candidate will contribute to operational efficiency, audit and compliance activities, and the Business Unit's cybersecurity product and delivery objectives. Structured guidance, on-the-job training and development opportunities will be provided.

This entry-level opportunity is suitable for candidates with a diploma qualification and limited or no prior work experience who are keen to develop a career in business operations, administration, governance, and stakeholder coordination.

Key Responsibilities:
Business Operations & Administration
  • Provide administrative and operational support to the Line of Business, including coordinating meetings, documentation, approvals and follow-up actions.
  • Maintain accurate records of operational tasks, handovers and action items, and follow up with relevant stakeholders to support timely closure.
  • Assist management and team members with day-to-day administrative matters, including manhours clocking and travel arrangements.
Procurement, Finance & Vendor Coordination
  • Support procurement activities, including requests for quotation, purchase orders, invoice tracking and coordination of goods receipt.
  • Support coordination with vendors, Finance and internal stakeholders to address procurement and billing matters in a timely manner.
  • Maintain proper documentation and support compliance with established internal procurement processes.
Governance, Audit & Compliance Support
  • Provide coordination and administrative support for internal audits, compliance reviews and governance-related activities.
  • Assist with collating, maintaining and submitting audit documents and supporting evidence.
  • Follow established internal policies and procedures, and support the team in meeting applicable governance and regulatory requirements.
Facilities & Infrastructure Coordination
  • Assist in coordinating facilities-related matters, including office upkeep, infrastructure works and access arrangements.
  • Support coordination with vendors and internal teams on facilities or infrastructure-related activities.
Staff Welfare & Engagement
  • Assist in planning and coordinating staff welfare and engagement activities such as celebrations, townhalls and appreciation events.
  • Support welfare committees or engagement teams in organising activities that promote team cohesion and morale.
Documentation & Reporting
  • Prepare, maintain and update operational documents, reports, presentations and organisational materials using established templates and guidance.
  • Support management reporting by consolidating inputs, checking information for completeness and preparing presentation materials as required.
Qualifications and Skills:

Relevant internship, project or co-curricular experience in administration, procurement, event coordination or stakeholder engagement would be advantageous but is not mandatory.

Good organisational and coordination skills, with the ability to manage multiple tasks and meet agreed timelines with guidance.

Basic knowledge of administrative operations, procurement processes or internal controls would be advantageous. Candidates who demonstrate a willingness and ability to learn will also be considered.

Attention to detail and commitment to accuracy in documentation and reporting.

Effective written and verbal communication skills, with working knowledge of Microsoft 365 applications such as Outlook, Excel, PowerPoint and Teams. Familiarity with SharePoint would be advantageous, but training can be provided.

Demonstrates integrity and the ability to handle sensitive information responsibly, with appropriate guidance.

Positive learning attitude and willingness to take on a broad range of operational assignments.

Able to follow established procedures, seek clarification when needed and progressively take on greater responsibility.

Proactive, reliable, service-oriented and comfortable working collaboratively with colleagues and stakeholders across different functions.

Able to adapt to a dynamic work environment and embrace continuous learning.
