Quintessential Education on Orchard Road, Singapore, seeks a Communications Executive to be the first contact for families, handle daily enquiries, and ensure smooth student-tutor matching.
You will keep families informed, coordinate with founders, and support marketing materials; bilingual English and Mandarin is essential.
We offer full-time or part-time arrangements with stipends and bonuses to support growth and professional development.
Quintessential Education is Singapore's leading provider of pre-tertiary academic programmes (IGCSE & IB) and university admissions advisory for top-tier global universities — Ivy League, Oxbridge, and NUS/NTU/SMU. Since 2012 we have worked with more than 700 students, and most of our new families come to us through referrals. We deliver a fully integrated journey for families: academic mastery, guardianship, and university placement under one roof.
We aim to bring out the best in our students, ignite opportunities and nurture them towards success.
We are looking for committed and talented additions to our team. As an ideal candidate, you should display a proven ability to develop and maintain an environment of trust, diversity, and inclusion within the QE team. You should be able to work with the team to meet deadlines and instill a culture of continuous work improvement.
As part of the position, you will work with the founders, Ivy League and Oxbridge graduates and other high-performing teammates.
We're looking for a Communications Executive to own the day-to-day relationship between QE and our families. You'll be the first person a parent speaks to when they enquire, and the person who keeps them informed once their child is with us. That means answering enquiries every day, matching students with the right tutors and mentors, and following up with students and parents regularly so nothing slips through.
You’ll also help keep our marketing materials and partner relationships in good order. We are open to full-time or part-time candidates, so tell us the arrangement that works for you.
If you're a confident communicator in both English and Mandarin*, stay calm and warm with demanding parents, and like being the person who makes sure things actually get done — we’d love to meet you.
*As a major group of customers are from China and are only able to converse in Mandarin.
Respond to daily parent and student enquiries via phone, WhatsApp, WeChat, and email, ideally within the same working day.
Explain our IGCSE, IB, and admissions programmes clearly and recommend the right fit for each student.
Match students with suitable tutors and mentors, and arrange trial lessons and consultations.
Track every enquiry through to enrolment and follow up with families who have not yet decided.
Check in regularly with enrolled students and parents on progress, attendance, and any concerns.
Collect lesson feedback from students and tutors, and deal with issues early before they become complaints.
Arrange class schedules, replacement lessons, and changes with tutors and families.
Keep parents informed ahead of key moments: exam periods, predicted grades, application deadlines, and results day.
Follow up on renewals and next-stage programmes (e.g. IGCSE to IB, IB to university applications).
Prepare and track invoices and payments.
Draft and manage service agreements for clients and tutors.
Keep client records, notes, and follow-up schedules up to date.
Keep a simple monthly record of enquiries, enrolments, and renewals for the founders.
Keep brochures, website content, and newsletters accurate and up to date.
Work with design and digital marketing agencies on campaigns and collateral.
Support parent seminars and events, including Mandarin-language sessions with our China school partners.
Maintain relationships with partner schools, education consultants, and collaborators.
Has experience in a client-facing role such as education, admissions, client services, or customer service. Fresh graduates with strong communication skills are welcome to apply.
Has excellent verbal and written communication in English and Chinese. This is required as some Chinese customers can only communicate in Chinese. Japanese and Korean are a bonus as some customers only communicate in these languages.
Is calm, warm, and professional with high-expectation parents, and comfortable handling difficult conversations.
Is highly organised, follows up without being reminded, and keeps clear records.
Can manage many families and a busy inbox at the same time without losing track of details.
Is proficient in Microsoft Office (Word, Excel, Outlook), Notion or Airtable, and marketing tools (Mailchimp, Canva).
Is comfortable using AI tools (ChatGPT, Claude, Gemini) and light automation to streamline workflows.
Have experience in the education, tuition, or admissions sector.
Know the IB, IGCSE, or university application process (UK, US, or Singapore).
Are familiar with WeChat or Xiaohongshu.
