Job summary

VDL ENABLING TECHNOLOGIES GROUP (SINGAPORE) PTE. LTD. seeks a Commodity Team Administrator to support the smooth operation of the commodity business through administrative duties.

You will assist the Commodity Specialist with quotes, supplier communications, and E-flow related to sourcing and procurement. Responsibilities include updating ITM data, expediting supplier quotes, and preparing risk assessment materials.

Qualifications

• Diploma in Supply Chain Management or related discipline.
• Strong organization and communication skills.
• Proficient in MS Office (Word, Excel, PowerPoint).
• Able to work independently with initiative and support teamwork.

Responsibilities

• Assist CS to request and manage suppliers' quotes to facilitate correct supplier selection.
• Expedite quotes with suppliers within required timelines.
• Escalate to CS if suppliers cannot meet quote submission schedules.
• Update latest supplier quotes (lead time, prices) with CS.
• Upload information into the Item Master (ITM) after E-flow approval.
• Initiate and follow through on change requests and supply chain orders via E-flow.
• Follow up on tasks assigned in E-flow approvals.
• Provide administrative support to the Commodity team; chase overdue items; liaise with other departments.
• Prepare presentations and reports related to risk assessment from events affecting Supply Chain.
• Support company continuous improvement programs.

Job description

Purpose: Primary role is to support the smooth running of the commodity Business Team through administrative duties. To assist and work closely with the Commodity Specialist (CS) including updating Baan ITM data and triggering e-flow related to sourcing and procurement. The Commodity Team Administrator will also be helping with quote requests and any information related to parts/services provided by suppliers.

Key Area of Responsibilities:

• Assist CS to request and manage suppliers' quotes to facilitate the correct supplier selection.
• Follow up closely by expediting with suppliers on the quotes within the required timeline.
• Escalate to CS if suppliers are not able to submit a quote to meet the quote submission schedule.
• Assist Commodity Specialist to update latest suppliers' quotes such as lead time and prices.
• Upon the approval of the triggered E-flow, upload the latest information into the Item Master (ITM).
• Assist Commodity Specialist to initiate and follow through on any change request, and supply chain order via E-flow.
• Follow up with the person in charge on the task assigned in the relevant E-flow approval.
• Provide administrative support to the Commodity team, chase suppliers for overdue items, liaise with other departments.
• Working together with CS and other functions, help to prepare presentations and reports related to risk assessment arising from events affecting Supply Chain.
• Support and participate in company continuous improvement program.
