Job summary

Chemlex (F.E.) Pte Ltd in Singapore is seeking a driven Sales Coordinator to manage customer enquiries, tenders and orders, while coordinating inventory and deliveries with our warehouse and logistics teams.

The role requires meticulous attention to pricing, stock levels and documentation, plus the ability to liaise with customers and internal departments to ensure timely, accurate fulfilment and ongoing customer satisfaction.

Qualifications

• Prior experience in sales coordination, customer service or order processing.
• Experience with tenders, blanket orders, inventory coordination or logistics is advantageous.
• Experience in chemical distribution, industrial supplies, marine or logistics is preferred.
• Strong attention to detail for prices, quantities, stock records and delivery documentation.
• Good communication skills and the ability to coordinate effectively with customers and internal teams.
• Able to manage multiple orders, meet deadlines and follow through on outstanding matters.
• Proficient in Excel, Word and email; experience with ERP systems is a plus.
• Willing to participate in stock counts and coordinate with warehouse personnel.

Responsibilities

• Prepare quotations, sales orders, delivery orders and invoices accurately and promptly.
• Process customer purchase orders and confirm pricing, stock availability and delivery requirements.
• Coordinate tender submissions, compile supporting documents and ensure submission deadlines are met.
• Follow up on submitted tenders and quotations, track their status and coordinate responses to customer clarifications.
• Monitor blanket orders, including contracted quantities, customer call-offs, deliveries, remaining balances and expiry dates.
• Follow up with customers on blanket order utilization, upcoming requirements and renewals.
• Identify customers who have stopped ordering after completing their blanket orders and support the sales team with follow-up.
• Assist with regular physical stock counts and stock reconciliation, investigate discrepancies with the warehouse team and ensure inventory records are updated accurately.
• Monitor stock levels and flag shortages or replenishment requirements to the relevant team.
• Liaise closely with the logistics team to plan deliveries and collections, confirm transport arrangements and resolve delivery issues.
• Coordinate with suppliers, warehouses and blending partners to ensure orders are ready for dispatch.
• Arrange deliveries in drums, IBCs and isotanks, ensuring quantities, packaging and delivery instructions are correct.
• Track outstanding deliveries, follow up on signed delivery orders and keep customers informed of schedule changes.
• Maintain accurate customer records, pricing information, tender records and sales documentation.
• Coordinate Safety Data Sheets (SDS), Technical Data Sheets (TDS) and Certificates of Analysis (COA).
• Liaise with the accounts team on payment status and outstanding invoices.
• Support the sales team with daily administrative tasks and supplier follow-ups.
