SMBC Aviation Capital Singapore is seeking a Business Support professional to handle a broad range of administrative duties in our Singapore office. You will work closely with the SVP Property, Facilities and Business Support and interact with teams across the business and external vendors.

Job description

This role reports into the SVP Property, Facilities and Business Support with dotted line into Singapore Management Team. As Business Support, you will assume responsibility for a wide range of administrative matters within SMBC AC’s Singapore office. The role provides opportunities to work with colleagues across the business and jurisdictions, and maintain relationships with external vendors.

Core Responsibilities
  • Event Management
  • Collaborate with teams to understand the requirements of the events and organise accordingly
  • Arrangement of events and entertainment as required by the Manager/Team
  • Provide support to any events, conferences or other meetings or entertainment
  • Diary, Travel, and Meeting Management – for Singapore Leadership Team
  • On-going support as required in the proactive management of diaries
  • On-going support as required for travel bookings and itinerary management
  • Administration of expenses claims as required
  • Management and acting as the central control for all travel visa applications and passport renewals for business travel
  • Meeting arrangements - preparation of agendas, supporting documentation, scheduling and arranging conference calls, catering and meeting room bookings
  • Ensuring all video/audio conference meetings are set-up in advance of meeting and liaising with IT for any technical issues for your teams
  • Maintaining records and files of all meetings, travel, etc. as required
  • General Administration – for the Singapore Office (as appropriate)
  • Support any general administrative duties required (including filing, scanning, printing, binding etc.)
  • Assisting with any other general administration as required/assigned
  • Handling incoming and outgoing mail – and direct as appropriate
  • Managing office services and relationships with vendors, service providers, and serviced office, ensuring that all items are invoiced and payment arranged with AP
  • Welcoming visitors and provide support
  • Answering and responding to phone calls, communicate messages and information to relevant colleagues
  • Monitoring office supplies and ordering new stationery, furniture, appliances and electronics as required
  • Maintaining the office condition and arrange necessary repairs
  • Maintaining a safe, secure, and pleasant work environment
  • Coordinating with IT department on all office equipment
  • Coordinate office staff activities to ensure maximum efficiency
  • Ongoing communication/interaction with Dublin office and HK/Singapore as needed
Qualifications & Experience
  • 3+ years’ experience in general office administration in a fast-paced corporate environment
  • Ability to coordinate travel, events and conferences
  • Good ability to manage multiple demands and work with a high level of organisation
  • Strong communication skills and the ability to work with colleagues locally and across global jurisdictions
