Qualifications

  • Bachelor's degree in Event Management, Business Administration, Hospitality, Science communication or a related field.
  • Minimum of 2 years of experience in event planning and coordination, preferably in an academic or research setting
  • Strong project management skills with the ability to handle multiple events simultaneously
  • Adaptable to changes, enjoy challenges and able to manage the complexities of different events requirements
  • Excellent organizational and time management skills
  • Outstanding written and verbal communication skills
  • Proficiency in event management software and Microsoft Office suite
  • Experience with budget management and vendor negotiations
  • Proactive and able to work both independently and as a team player to build collaborative working relationships

Responsibilities

  • Plan, organize, and execute academic conferences, workshops, and community events related to geroscience and healthy longevity research
  • Develop and manage event timelines, budgets, and logistics, ensuring all aspects are coordinated efficiently
  • Oversee on-site event management, including setup, audiovisual requirements, and troubleshooting
  • Conduct post-event evaluations and prepare comprehensive reports for stakeholders
  • Liaise with internal departments, external vendors, and stakeholders to ensure smooth event execution
  • Coordinate speaker invitations, travel arrangements, and accommodations
  • Manage event registration processes and attendee communications
  • Maintain accurate records of event-related documentation and expenses
  • Manage lists of stakeholders including potential participants for upcoming studies
  • Collaborate with the research team to identify opportunities for knowledge dissemination and community engagement
  • Assist in developing marketing materials and promoting events through various channels
  • Support the research team in preparing presentations and materials for events
  • Participate in regular and ad-hoc events/projects as assigned by the Reporting Manager

The incumbent plays a crucial role in advancing the field of geroscience and precision geromedicine. By organizing and executing high-quality conferences, workshops, donor events and community events, this role will facilitate knowledge exchange, foster collaborations, build a strong community of researchers, practitioners, and stakeholders, and recruitment of participants for research studies. These events will be instrumental in disseminating research findings, showcasing innovative approaches, and engaging with policymakers and practitioners to translate research into real-world applications at local, national and international level. Moreover, through creative, innovative and interactive event formats, the executive will help create a vibrant ecosystem that nurtures new ideas, encourages interdisciplinary collaborations in research, and accelerates the growth of this emerging field.

Duties and Responsibilities
1. Event planning, coordination and execution

2. Community engagement
