Job Description

As Assistant Manager (Graduate Studies), you will be instrumental in shaping and supporting the strategic initiatives that underpin graduate education within the Faculty of Arts and Social Sciences. This role involves comprehensive programme administration, including management of funding schemes, curriculum development, and stakeholder engagement. This is a contract role for two years, targeted at candidates with a robust background in educational programme administration, exceptional organisational competencies, and a proactive approach to problem-solving.

Primary Duties and Responsibilities

  1. Administer and monitor funding allocations for graduate student research activities such as fieldwork and conferences, ensuring compliance with university policies and timely disbursement.
  2. Coordinate the annual Graduate Student Teaching Awards, from call for nominations through to selection and awarding, to uphold academic excellence in graduate teaching assistants.
  3. Lead and contribute to the development and submission of curriculum proposals, collaborating closely with academic departments to enhance programme offerings.
  4. Implement and manage new Graduate Certificate programmes, liaising with faculty and external partners to maintain academic quality and relevance.
  5. Oversee administration of NUS Lifelong Learning (L3) courses, including enrolment, funding, and reporting requirements.
  6. Manage SkillsFuture Singapore (SSG) funding processes for Postgraduate Coursework and Graduate Certificate programmes, ensuring adherence to funding guidelines and promoting lifelong learning opportunities.
  7. Serve as a key point of contact for graduate student programme queries, providing excellent service and fostering effective communication across faculty and administrative teams.
  8. Prepare reports and analysis on programme performance, funding utilisation, and student engagement to support continuous improvement and strategic planning.
Qualifications

Educational Background

  • A recognised degree in any discipline from a reputable institution is required.

Professional Experience

  • At least 5 years of progressively responsible experience in programme administration, course operations, or education/training management within an academic or comparable environment.
  • Experience supporting graduate-level education or managing external funding schemes is highly desirable.

Skills and Competencies

  • In-depth understanding of course and programme administration processes, with demonstrated ability to manage complex operations.
  • Familiarity with TP Gateway systems or similar administrative platforms would be advantageous.
  • Highly organised with strong attention to detail and capacity to manage competing priorities effectively.
  • Proficiency in Microsoft Office Suite, including advanced skills in Forms, Automate, Excel, Word, and PowerPoint to streamline workflows and reporting.
  • Ability to analyse data accurately, produce clear reports, and ensure data integrity across administrative tasks.
  • Excellent interpersonal and communication skills, both written and verbal, enabling effective collaboration with diverse stakeholders.
  • Self-starter with sound judgment, capable of working independently and escalating issues appropriately to ensure timely resolution.
