Role Purpose
Support the Facilities & Safety Manager in running the day-to-day facilities, security and safety operations across KWE’s Singapore sites, with direct ownership of maintenance delivery, vendor performance, compliance records and supervision of the facilities executive team.
Key Responsibilities
Facilities Operations & Maintenance
- Oversee the upkeep of building systems – air-conditioning, electrical, lighting, plumbing and fire protection – across both warehouse and office areas.
- Develop and manage the maintenance schedule; track daily requests, status and ageing through the E-facility request platform.
- Minimise downtime of systems critical to warehouse and office operations (loading docks, roller shutters, etc.).
Vendor & Contract Management
- Coordinate vendors and contractors, ensuring works meet company quality, safety and contractual standards and agreed service levels.
- Support sourcing and tender processes with Procurement; monitor contractor performance and track contract renewals.
Workplace Safety, Health & Compliance (HSE)
- Support the establishment, maintenance and continuous improvement of the site HSE management system and related certifications.
- Coordinate with the Workplace Safety & Health Officer (WSHO) on safety matters; oversee contractor safety compliance and permits-to-work.
- Participate in internal and external audits (e.g. ISO 13485 / GDPMDS, SS 620, ISO 9001) and help close out findings.
Security & Emergency Preparedness
- Oversee site security arrangements and access control.
- Support CERT team readiness; ensure fire drills are conducted at least twice a year with records in place, and drive improvements.
Licensing & Compliance Records
- Maintain the register of licences and permits; track and action renewals before expiry; keep accurate facility documentation.
Budget & Project Support
- Assist the Manager with facilities budget planning and monthly P&L review; help track Capex/Opex and payment schedules.
- Support facility projects – task scheduling and tracking (e.g. via Microsoft Project), progress monitoring, and close-out.
People Management & Supervision
- Supervise and guide the facilities executive(s) and contractor staff; allocate tasks and remove obstacles to completion.
- Deputize for the Facilities & Safety Manager as required.
Requirements
- Diploma or Degree in Facilities Management, Estate Management, Building Management, Property & Facilities Management, or Engineering (Mechanical or Electrical preferred).
- 5–8 years of experience in facilities / building services / safety, including some supervisory or contractor-management experience; industrial, warehouse or logistics environment an advantage.
- Working knowledge of HSE and fire-safety requirements; FSM certification an advantage (not required at this level).
- Familiarity with a facilities / work-order platform (E-facility request or similar) and MS Office; MS Project a plus.
- Experience supporting audits (ISO 13485 / GDPMDS, SS 620, ISO 9001) advantageous.
- Strong communication, organisation and problem-solving skills; able to work independently and hold vendors accountable.
