SUMMARY OF THE ROLE

The Business Process Support (BPS) team plays a vital role in supporting HR operations across the employee lifecycle. This position is responsible for providing end-to-end administrative and operational support in recruitment, onboarding, employee records management, offboarding, welfare administration, and other HR-related processes. The role ensures compliance, accuracy, and timeliness in all HR transactions, contributing to a smooth and positive employee experience.

JOB RESPONSIBILITIES

Recruitment Support

  • Post job advertisements on various platforms.
  • Schedule and coordinate interviews with candidates.
  • Administer pre-interview assessments (when required).
  • Respond to candidate queries and issue rejection communications.

Employee Onboarding

  • Prepare and collate employee contracts, forms, and documents for system entry.
  • Complete employee data setup in the SuccessFactors (SF) system.
  • Coordinate new hire orientation sessions and support HRBP during onboarding.
  • Process work pass applications (when required).
  • Maintain and update the Staff Movement Excel Spreadsheet (co-own with IT Helpdesk).

HR Records and File Maintenance

  • Maintain accurate and up-to-date employee records (both physical and digital).
  • Ensure compliance with data protection and confidentiality standards.
  • Manage and organize shared HR files.

Employee Offboarding

  • Process employee separation paperwork and update records in the SF system.
  • Coordinate smooth offboarding procedures (leave adjustments etc.).
  • Ensure cessation of staff benefits (Grab, myMHC, EHS).
  • Cancel work passes where necessary.
  • Update the Staff Movement Excel Spreadsheet (co-own with IT Helpdesk).

Welfare Administration

  • Administer staff welfare benefits (e.g. newborn hampers, get-well baskets, funeral wreaths).
  • Verify and approve buddy lunch claims.

Reporting & Miscellaneous Support

  • Compile HR metrics and prepare reports (e.g. weekly resignation statistics).
  • Update organizational charts and establishment reports.
  • Ensure timely processing of cheque requisitions.
  • Manage the HR mailbox (Level 0 Helpdesk support).
  • Prepare and broadcast EDMs communications via MOHH HR mailbox.
  • Perform other HR-related tasks as assigned.

JOB REQUIREMENTS

  • Diploma/Degree in Human Resources, Business Administration, or a related field.
  • Familiarity with HR systems (e.g. SuccessFactors) and proficiency in Microsoft Office.
  • Strong attention to detail, accuracy, and confidentiality.
  • Good organizational and time management skills with the ability to handle multiple priorities.
  • Effective communication and interpersonal skills.
  • Team-oriented, adaptable, and service-focused mindset.
  • Strong interpersonal and communication skills, with excellent written and verbal abilities
  • Self-motivated and proactive with a can-do attitude.
  • Passion for developing and nurturing the talent pipeline for the public healthcare sector.
  • Ability to engage effectively with scholars as well as internal and external stakeholders.
  • Good analytical skills with the ability to leverage data to drive meaningful insights.
  • 1–2 years of HR or administrative support experience preferred (fresh graduates with relevant internships experience may be considered).
