Job summary

Qualifications

• Strong analytical ability and attention to detail with accuracy in rate validation, cost calculations, and data entry.
• Ability to manage multiple requests, systems, and deadlines in a fast-paced environment.
• Proficiency with Microsoft Excel, including formulas, lookups, filters, and cost analysis; working knowledge of Word and Outlook.

Responsibilities

• Manage air freight rate requests from intake through closure, including RFIs and time-sensitive spot requests.
• Review shipment details for completeness (origin, destination, service level, weight, dates).
• Research rates, routing guides, and rate validity to determine contract applicability.
• Validate calculations and terms against approved sources; elevate missing or non-applicable rates.
• Create and maintain rate-request records across Salesforce, RateCloud, Keelvar, Power BI, Excel, Teams.
• Prepare and issue RFIs to support planning or cost-estimate decisions and note assumptions.
• Launch spot requests to forwarders, communicate requirements, set deadlines, monitor responses.
• Compare offers for pricing, transit time, routing, capacity, and terms; request clarifications as needed.
• Calculate total move cost including charges and currency normalization; document assumptions.
• Provide quotes with total cost, routing, transit time, validity, and risks; protect pricing.
• Collaborate with trade-lane teams, facilities, and forwarders to resolve questions.
• Record house air waybill and approvals; close the request.
• Maintain complete documentation for audits.
• Track open requests, aging, savings, and risk trends; escalate promptly.
• Follow export-control and retention requirements and identify improvement opportunities.
