Job summary

Caring Skin Medical Aesthetics Clinic is seeking a Clinic Assistant to support the patient journey from check-in to post-treatment. You will work closely with the Aesthetic Doctor and clinic team to provide administrative, operational and clinical support across consultations and procedures.

The role requires service focus, proactivity, and excellent attention to detail to maintain high standards of patient care, safety and confidentiality in a busy aesthetic clinic environment.

Qualifications

• Minimum 2 years' experience in an aesthetic clinic, medical clinic, beauty or wellness industry.
• Experience in a medical aesthetics or specialist clinic is preferred.
• Experience with clinic management software, medication dispensing and payment collection is an advantage.

Responsibilities

• Deliver an exceptional patient experience from arrival to departure.
• Register and check in patients accurately; coordinate appointments.
• Escort patients to consultation and treatment rooms; ensure comfort.
• Prepare consultation and treatment rooms; assist doctor during procedures.

Job Summary

The Clinic Assistant plays an important role in delivering an exceptional patient experience while ensuring the smooth day-to-day operations of Caring Skin Medical Aesthetics Clinic. Working closely with the Aesthetic Doctor, Clinic Manager and clinic team, the Clinic Assistant provides administrative, operational and clinical support before, during and after treatments.

The ideal candidate is service-oriented, proactive, organised and enjoys interacting with people. This role requires professionalism, attention to detail and a commitment to maintaining the highest standards of patient care, safety and confidentiality.

Key Responsibilities

1. Patient Experience & Customer Service

• Welcome patients warmly and provide a premium customer experience from arrival to departure.
• Register and check in patients accurately.
• Schedule, confirm and coordinate patient appointments.
• Escort patients to consultation and treatment rooms.
• Ensure patients are comfortable throughout their clinic visit.
• Build positive relationships with patients and promote long-term loyalty through exceptional service.

2. Clinical Support

• Prepare consultation and treatment rooms before each patient.
• Assist the Aesthetic Doctor during consultations and medical aesthetic procedures where required.
• Prepare treatment consumables, medical supplies and equipment.
• Take standardised before-and-after clinical photographs.
• Provide patients with pre-treatment and post-treatment instructions according to clinic protocols.
• Clean, disinfect and reset treatment rooms after every procedure.
• Ensure aesthetic devices and equipment are clean, functional and ready for use.

3. Administrative Support

• Maintain accurate patient records using the clinic management system.
• Process registrations, payments, invoicing and receipts accurately.
• Assist with medication dispensing under the supervision of the Aesthetic Doctor, where applicable.
• Prepare daily operational reports.
• Maintain proper filing of consent forms and patient records.
• Coordinate treatment review appointments and follow-up visits.

4. Clinic Operations

• Ensure the clinic maintains a clean, organised and professional appearance at all times.
• Monitor inventory levels of consumables, medications, retail products and medical supplies.
• Receive and organise deliveries.
• Conduct regular stock checks and assist with monthly stock takes.
• Report equipment faults and maintenance requirements promptly.
• Support continuous improvement of clinic operations and SOP implementation.

5. Sales & Patient Education

• Introduce suitable skincare products and treatment packages based on the doctor's recommendations.
• Educate patients on treatment preparation, aftercare and home care routines.
• Support the achievement of clinic sales and service targets.
• Promote retail products and ongoing clinic promotions where appropriate.

6. Marketing & Clinic Promotion

• Assist in creating social media content, including photography and videos.
• Support marketing campaigns, educational events and promotional activities.
• Keep updated on clinic treatments, products and promotions.
• Encourage patient reviews and referrals by delivering excellent service.

7. Compliance & Quality Assurance

• Comply with all clinic SOPs, infection control measures and workplace safety requirements.
• Maintain strict patient confidentiality in accordance with the Personal Data Protection Act (PDPA).
• Adhere to all applicable Singapore healthcare regulations and clinic policies.
• Participate in staff training and continuous professional development.
• Maintain high standards of hygiene, cleanliness and patient safety.

Requirements

• Minimum 2 years' experience in an aesthetic clinic, medical clinic, beauty or wellness industry.
• Previous experience in a medical aesthetics or specialist clinic is preferred.
• Experience with clinic management software, medication dispensing and payment collection is an advantage.
