Job Scope: Administration Executive (Coding School)
The Administration Executive plays a key role in ensuring smooth daily operations across all branches. This role supports trainees, parents, teachers, and management through efficient administrative processes, clear communication, and excellent service standards.
1. Front Desk & Customer Service
- Serve as the first point of contact for parents, trainees, and walk-ins.
- Provide accurate information about courses, schedules, fees, and promotions.
- Assist parents with enquiries, registrations, trial bookings, make‑up lessons, and class changes.
- Handle feedback professionally and elevate issues to branch managers or HQ when necessary.
2. Class & Scheduling Management
- Manage daily class operations, including attendance taking and class slot allocation.
- Coordinate make‑up lessons, rescheduling, and trial classes to maximise branch capacity.
- Ensure teachers receive updated class lists and trainee information before lessons.
- Support planning of school holidays, term changes, workshops, and special events.
3. Operations & Branch Support
- Oversee branch opening and closing duties, ensuring the premises are clean, safe, and presentable.
- Assist with teacher coordination, including shift rosters and communication of last‑minute updates.
- Monitor centre cleanliness and upkeep; coordinate cleaners or vendors when necessary.
4. Enrollment Support
- Manage registration processes, contract issuance, consent forms, and payment collection.
- Track enrolment numbers and report trends to HQ for decision‑making.
- Support the execution of promotional campaigns, events, and outreach activities.
5. Administrative & Finance Tasks
- Process payments (fees, workshops, merchandise, competitions) and issue receipts.
- Perform basic bookkeeping and reconciliation of daily sales reports.
- Maintain accurate trainee records, contact information, and class histories.
- Prepare monthly reports for HQ (attendance, cancellations, utilisation rate, etc.).
6. Event & Competition Support
- Assist in organising internal and external events (e.g., Open Houses, board game nights).
- Coordinate logistics for competitions (RoboCup, Coding Olympiads, internal challenges).
- Provide onsite support during showcases, trial days, and public events.
7. HQ Collaboration
- Work closely with the Operations Manager and Head of Curriculum to support branch needs.
- Provide feedback on system issues, process improvements, and trainee concerns.
- Support updates to The Lab’s internal software and administrative tools.
