Job summary

CAIA Cosmetics, a Stockholm-based global beauty brand, is expanding and seeks its first Quality and Regulatory Affairs Manager to build and lead the function.

You will combine hands-on regulatory work with creating processes that enable faster launches, new markets, and ongoing compliance, reporting to the Chief Product Officer within the Product team, collaborating with Development, Sourcing, Operations, Marketing, Sustainability and Legal, plus external partners.

Qualifications

• PIFs, CPSR, and CPNP notifications are required.
• Formulation, ingredient, and REACH compliance are essential.

ABOUT THE ROLE

CAIA is growing fast, and our product portfolio and international footprint are growing with it. We are looking for our first Quality and Regulatory Affairs Manager to build and lead the function.

You will combine hands-on regulatory and quality work with building the processes that let us launch faster, enter new markets and stay compliant as we grow. You will report to our Chief Product Officer and sit within the Product team, working closely with Product Development, Sourcing, Operations, Marketing, Sustainability and Legal, as well as our external manufacturers and regulatory partners.

YOUR RESPONSIBILITIES INCLUDE:

• Build CAIA's Quality and Regulatory Affairs framework: processes, documentation structure, approval gates, risk visibility, clear ownership, and what we handle internally versus externally.

• Ensure our products comply with EU cosmetics legislation and international requirements, including the general product safety rules covering tools, brushes and accessories.

• Own our regulatory documentation and filings - PIFs, CPSRs, product specifications and supporting technical documentation - plus notifications and registrations across our markets, working with our Responsible Person.

• Review formulations, INCI lists, packaging, artwork and labelling before production, and sign off on claims with Product Development and Marketing once substantiation is in place.

• Partner with Product Development from concept to launch: assess formulations, ingredients, packaging and claims, set requirements and timelines, and flag risks early.

• Assess what new markets require, turn the gaps into clear actions, and build the checklists behind each entry.

• Support compliance with other applicable regulatory requirements, including packaging, environmental and extended producer responsibility regulations, in collaboration with relevant internal and external stakeholders.

• Set the quality standards our suppliers work to: specifications, GMP and ISO 22716 evidence, certificates of analysis and batch release documentation.

• Keep compliance current through regulatory monitoring, change control and periodic review of products, materials, suppliers and legislation.

• Oversee post-market quality and safety: complaints, investigations, deviations and corrective actions, cosmetovigilance, and product recalls where needed.

• Compile and submit compliance documentation for our retail partners and their customer portals.

Experience with regulatory requirements outside the EU, especially the UK and US, is a big plus. You don't need to be an expert in every market. What matters is that you know how to read regulatory requirements, spot gaps and find a reliable path to compliance.

TO SUCCEED IN THIS ROLE

You're comfortable taking ownership before everything's mapped out. Structured and detail-oriented, but also commercial and pragmatic - you find compliant ways to make things happen, not just flag what can't be done. You turn complex regulatory requirements into clear, practical advice that other teams can act on. You're comfortable holding a standard with suppliers and following up until you get what you asked for. And you'd rather build something new than step into something already established.

You will be the first person in this role at CAIA, with the space to decide how it works and the backing to build it properly.
