Job summary

Us3 Consulting is seeking an experienced PMO/Program Coordinator to support end-to-end program delivery across multiple projects. You will work closely with Project Managers and senior stakeholders to ensure effective governance, financial control, reporting, risk management and delivery alignment.

Responsibilities include coordinating budgets and forecasts, RAID logs, and Steering Committee materials, plus organizing governance meetings and ensuring data quality across robotics programs.

Qualifications

• Experience as PMO/Program Coordinator in a multi-project environment.
• Strong understanding of governance, reporting, RAID management and project controls.
• Experience with budgets, actuals, accruals and forecasting.
• Excellent stakeholder management and communication skills with senior leadership.

We are looking for an experienced PMO / Program Coordinator to support end-to-end program delivery across multiple projects. You will work closely with Project Managers and senior stakeholders to ensure effective governance, financial control, reporting, risk management and delivery alignment.

Key Responsibilities

• Coordinate activities across projects and Project Managers to ensure consistent program delivery.
• Support budget preparation, financial reporting, accruals, actuals and forecasting.
• Review and coordinate sourcing activities, including service and software/license contracts.
• Coordinate regular project status reporting, RAID logs and Steering Committee (SteCo) materials.
• Organise governance meetings and support presentations to senior stakeholders and decision boards.
• Coordinate cross-project decisions and follow up on agreed actions.
• Organise Quality Gate reviews and track resulting actions.
• Align individual project cutover plans and support execution.
• Ensure project deliverables, documentation and data meet client robotics standards and quality requirements.
• Administer program collaboration tools including Teams, SharePoint, program portals and distribution lists.
• Proven experience in PMO, Program Coordination or Project Management within a complex, multi-project environment.
• Strong understanding of program governance, reporting, RAID management and project controls.
• Experience with project financials, including budgets, actuals, accruals and forecasting.
• Strong stakeholder management and communication skills, including working with senior leadership.
• Experience coordinating multiple projects, dependencies, risks and deliverables.
• Strong organisational skills with the ability to manage competing priorities and deadlines.
• Proficiency with Microsoft Office, Teams and SharePoint.
• Strong attention to detail and commitment to data and documentation quality.

Preferred Skills

• Experience within robotics, automation, technology or engineering programs.
• Experience with Quality Gates, Steering Committees and Decision Boards.
• Experience supporting cutover / go-live planning and execution.
• Experience with sourcing, vendor management and service/license contracts.
• Familiarity with established PMO frameworks, governance models and delivery standards.
