JOB PURPOSE

As a Payroll & HR Specialist, you are a key person in ensuring accurate and efficient payroll management while supporting both managers and employees in HR-related issues. You are expected to be on site to be available for the employees and leadership team. The role offers broad responsibilities within labor law, HR processes, and personnel administration, providing an opportunity to develop in both strategic and operational areas of HR. You will work closely with the operations in the factory with good opportunities for learning and professional development.

Key Responsibilities
  • Own the payroll process for the factory, ensuring correct payroll data through review of time and attendance.
  • Payroll coordination with external payroll provider Neeyamo for the Nordics.
  • Support during changes in compensation/benefits and ensure that the payroll HUB receives the correct information and additional regional payroll administration.
  • Responsible for entire hire-to-retire process (pre-onboarding, onboarding, and offboarding) of employees.
  • Handle local labor law issues such as performance, complaints, and conflicts.
  • Prepare and conduct union negotiations. Participate in collaboration meetings with local trade unions.
  • Manage cases related to absence, leave, and illness, and employee data in Workday.
  • Create employment contracts and other employee documentation. Handle international cases in collaboration with the Global Mobility team.
  • Provide advice during the implementation of new and existing HR policies in accordance with labor law.
  • Plan and follow up on training initiatives.
  • Support managers in the recruitment process, including job profiling, advertising, selection, and job offers.
What You Need to Succeed

Skills

  • Payroll management – knowledge of payroll processes, time reporting, and payroll basis such as employment law, pension provisions, and taxes.
  • Labor law – good understanding of Swedish labor law and collective agreements (both white collars and blue collars).
  • HR processes – experience of the entire employment cycle (onboarding, offboarding, restructuring).
  • System familiarity – particularly in Workday and Promark as well as other HR tools.
  • Union collaboration – experience in handling negotiations and collaboration meetings.
  • Documentation – ability to create and manage employment contracts and other HR documentation.
  • Communication – clear and professional in both speech and writing.
  • Trust-building – establishing good relationships with both trade union parties and internal stakeholders.
  • Accuracy – particularly important when handling payroll data and personnel information.
  • Problem solving – ability to act quickly and correctly in complex HR situations. Planning and follow-up – for example, of training initiatives and change processes.
  • Change management – supporting the implementation of new policies and processes.
  • Excellent language skills in Swedish and English.

Experience & Education

  • Post-secondary education is required, preferably as Payroll specialist or a Bachelor degree in human resource management. Alternatively, other education that the employer deems equivalent.
  • Minimum 2-3 years of experience in payroll administration. Meriting if you have experience of HR, labor law and similar work environments.
