The primary responsibility of the Facility Coordinator is to ensure the successful delivery of services by supporting the operational team and project execution. Key duties involve understanding operational impacts, assisting in the development of plans and schedules, serving as a liaison between team members, maintaining accurate documentation, tracking progress, reporting status updates, identifying issues, and facilitating effective solutions. Additionally, the Facility Coordinator provides administrative support to the operations team and offers guidance for on-site projects and minor works, supporting and covering all phases from planning through execution to completion.
- Participate in the planning and resource planning for service, maintenance, and corrective actions of all technical equipment on site.
- Identify faults, propose solutions, and follow up on corrective actions.
- Ensure quality assurance for CBRE technical delivery and participate in critical installations and maintenance work. Manage and follow up internal CBRE processes.
- Backfill existing colleges during sick leaves, vacations, etc.
YOUR RESPONSIBILITIES
Operational
- Act as a central point of contact between internal teams and contractors to ensure clear communication and alignment.
- Support the planning, execution, and completion of operational and technical projects.
- Support cross-functional teams, ensuring collaboration and effective communication.
- Maintain accurate and up-to-date documentation, including reports, logs, and compliance records.
- Monitor operational and project progress daily, identify risks or delays, and implement mitigation strategies.
- Assist with installation works and ensure corrective/repair tasks are performed in accordance with current regulations.
- Promote compliance with safe working practices, quality standards, and best practices.
- Participate in decision-making and execution of work activities.
- Contribute to the development and improvement of working procedures and processes.
- Identify workforce and skill requirements, including coordination of external support when needed.
- Support fault investigation, root cause analysis, and corrective actions.
- Propose ideas and initiatives to enhance service levels and delivery.
- Understand operational needs, expectations, and business objectives to tailor project solutions.
- Identify opportunities for additional consultancy services within existing projects.
- Conduct regular reviews and audits to identify areas for improvement.
- Ensure compliance with industry standards, regulations, and internal policies.
- Report potential project risks to the contract and project managers.
- Proactively address challenges to prevent project delays.
- Adapt to changes and unexpected challenges in operations and projects.
- Apply lessons learned from previous projects to improve future performance.
- Assist in preparing simplified tenders and proposals for smaller projects or extra works, ensuring alignment with internal guidelines and client expectations.
- Demonstrate strong verbal and written communication skills when interacting with team members and stakeholders.
Quality
- Ensure quality assurance through CERM processes and logbooks.
- Ensure work complies with all regulatory, local, quality, sustainability, energy efficiency, and QHSE policies.
- Participate in audits and reviews; perform daily supervision and quality assurance for projects and maintenance.
- Provide input and conduct account reviews and audits of Critical Environments.
Development
- Contribute actively to the continuous development and optimization of site operations and service delivery.
- Drive ongoing improvements based on feedback from line managers, engineers, and stakeholders.
- Continuously improve delivery by receiving and implementing feedback from internal and external customers.
- Support innovative technical solutions focusing on sustainability, energy efficiency, and long-term value.
- Assist in creating and maintaining long-term Asset Management Plans (5-year and 10-year horizons), aligning with strategic business goals.
