Job summary

Stegra in Boden, Sweden, seeks a dedicated Document Controller to join the Information Management team and support project documentation across the Boden project. You will manage EDMS workflows, maintain MDRs and DDMs, and ensure accurate filing, distribution, and traceability of documents between internal teams, EPCM partners, contractors, and suppliers.

  • 5+ years of experience as a Document Controller or in a similar information management role.
  • Experience with EDMS and document management in major projects.
  • Familiarity with Master Document Registers, document distribution, and metadata.
  • Strong organizational skills and attention to detail.
  • Professional English communication and cross-functional collaboration.

Responsibilities

  • Manage and maintain project documentation within our Electronic Document Management System, Omega 365.
  • Maintain Master Document Registers (MDR) and Document Distribution Matrices (DDM).
  • Ensure documents are correctly filed, distributed, tracked, and maintained per procedures.
  • Support internal teams, contractors, and suppliers with submissions, metadata, access, and workflows.
  • Provide guidance and training on document management processes and systems.
  • Assist project teams in locating and compiling documentation for construction and handover.
  • Contribute to continuous improvement of document control procedures and ways of working.
  • Verify document quality and respond to information requests and queries.

What You’ll Do

Right now, we are looking for a Document Controller for our Information Management team. In this role you will report to our Information Management Manager and sit within our Project Delivery function. The team is responsible for ensuring that technical documentation and project information are structured, traceable, accessible, and managed consistently throughout the Boden project.

Type of employment: Permanent, with 6 month probationary period

Placement: Boden

As Document Controller, you will support the day-to-day management of project documentation and help ensure that information flows efficiently between internal teams, EPCM partners, contractors, and suppliers. You will work extensively in our Electronic Document Management System (EDMS) and play an important role in maintaining document quality, supporting project teams, and improving document control practices across the project.

Specific to this role, the day-to-day tasks will include the following but as we are a growing company with very little silos between teams, other tasks might be included as well.

  • Manage and maintain project documentation within our Electronic Document Management System, Omega 365
  • Maintain Master Document Registers (MDR) and Document Distribution Matrices (DDM) for your assigned project area
  • Ensure documents are correctly filed, distributed, tracked, and maintained in line with project procedures
  • Support internal teams, contractors, and suppliers with document submissions, metadata, access permissions, and document workflows
  • Provide guidance and training to project team members on document management processes and systems
  • Support project teams in locating and compiling documentation required for construction, regulatory compliance, and handover
  • Contribute to the continuous improvement of document control procedures, instructions, and ways of working
  • Verify document quality and compliance, and respond to documentation-related information requests and technical queries

  • Strong understanding of document and data requirements within construction or major project environments
  • Experience working with Electronic Document Management Systems (EDMS)
  • Experience with Omega 365 and Autodesk Construction Cloud is considered an advantage
  • Good understanding of Master Document Registers, document distribution, metadata, and document workflows
  • Strong organizational skills and attention to detail
  • Ability to collaborate effectively across multidisciplinary teams and with external stakeholders
  • Strong communication and time management skills, with professional proficiency in English
