GENERAL DESCRIPTION

The workshop Administrator is responsible for managing the administrative functions of a plant workshop in a satellite depot location, providing essential support to the maintenance teams. This role involves scheduling maintenance activities, keeping accurate records, managing inventory and supplies, and coordinating communication among various departments. The ideal candidate will have strong organizational skills, technical familiarity with plant operations, and a solid understanding of health and safety compliance standards—all crucial for ensuring that workshop activities run efficiently and without disruption

Key responsibilities
  • Coordinate scheduling for maintenance tasks, repair work, and production activities to optimize workflow and reduce equipment downtime.
  • Maintain detailed documentation of maintenance schedules, work orders, service reports, and compliance certifications using maintenance management systems.
  • Manage and track inventories of workshop supplies, spare parts, and tools to ensure that essential items are always available for ongoing operations.
  • Liaise with procurement and store personnel to reorder materials promptly and avoid delays in plant operations.
  • Serve as the central point of contact between workshop technicians, and external vendors.
  • Facilitate effective communication by preparing daily, weekly, or monthly performance reports and updates, ensuring that all teams are informed of scheduled maintenance and urgent repairs.
  • Support the workshop supervisor in overseeing staff scheduling, timesheet management, and resource allocation. Assist in implementing and monitoring adherence to plant and workshop health and safety protocols.
  • Ensure that all administrative processes and maintenance documentation comply with legal, environmental, and safety standards.
  • Participate in regular safety audits and contribute to the continuous improvement of operational procedures with a focus on “getting it right the first time.
  • Maintain an up-to-date log of all maintenance activities, including work orders, repair histories, and equipment status.
  • Prepare accurate records and reports that help in budgeting, forecasting, and performance monitoring of the workshop operations.
Qualification requirements
  • A diploma or Bachelor’s degree in Business Administration, Industrial Management, or a related field is preferred
  • Prior experience (typically 2–4 years) in an administrative or coordination role within a plant or workshop environment is desirable
  • Proficiency in using standard office and recordkeeping software (e.g., Microsoft Office Suite, Google Workspace)
  • Basic knowledge of plant equipment, mechanical systems, or production processes is helpful.
