The ideal candidate will handle communications with clients and consultants, oversee the organization of all project documents, and ensure adherence to filing and revision control procedures. Strong organizational skills, attention to detail, and confidentiality are essential. Familiarity with construction projects and basic AutoCAD knowledge are preferred.

Qualifications

  • Experience in construction or engineering projects is preferred.
  • Familiarity with consultant and client submission procedures may be beneficial.
  • Basic knowledge of AutoCAD drawings and revision tracking is a plus.

Responsibilities

  • Manage official project correspondence via email with clients and consultants.

Job description

We are seeking a Construction Coordinator & Document Controller to manage project correspondence, document control, and coordination with clients, consultants, and internal teams. The role is responsible for handling official emails, drafting project documents, maintaining organized records, and ensuring proper document flow in accordance with project and company procedures.

Key Responsibilities
Coordination & Communication
  • Manage official project correspondence via email with clients, consultants, and subcontractors
  • Draft, review, and format letters, transmittals, RFIs, submittals, and reports
  • Track incoming and outgoing communications and ensure timely responses
  • Coordinate between project managers, engineers, and site teams in addition to the work of handling permissions in all steps for work
Document Control
  • Maintain and control all project documents (drawings, specifications, correspondence, approvals)
  • Implement and follow document numbering, filing, and revision control systems
  • Ensure documents are properly logged, distributed, and archived
  • Maintain up-to-date records of approved, superseded, and revised documents
  • Prepare document registers and status reports as required
Administrative Support
  • Organize digital and hard copy files in an efficient and structured manner.
  • Assist in preparing minutes of meetings, schedules and reports.
  • Support project handover documentation and as built records.
  • Ensure confidentiality and accuracy of all project documents.
