Key Responsibilities of the Role

  • Gathering information for implementing the new project.
  • Documenting the project details.
  • Working on Digital platforms such BIM 360, ACC, Procore, CX Alloy and Asite etc.
  • Management of document control software system ensuring that all parties receive adequate training and then use the system.
  • Ensuring the timely distribution of documents & drawings to project personnel.
  • Working in accordance with company procedures & guidelines.
  • Distribution of drawing transmittals, Reviews, RFI’s and submittals to client, designers and subcontractors.
  • Submission of documents and creating transmittals
  • Receiving and full quality check of all drawings and documents transmitted by the lead consultants.
  • Implementing and checking the naming convention on the project as per the company and project requirements.
  • Tracking the pending documents through weekly progress reports.
  • Notifying the involved for taking appropriate action on the pending documents.
  • Export files in the required format.
  • Managing and tracking the time management system, reporting regularly.
  • Return of quarantined documents to the issuer for full correction and re-issue.
  • Maintenance of controlled document registers and associated documentation.
  • Update the master document register (MIDP) on daily basis.
  • BIM360 (or any other platform used on the project) Administration: adding members licenses, adding new companies.
  • Implement, upload and manage the O&M file on the project and transfer all the information to the client platform as per the project requirements.
  • Full control of Mercury platform and the client platform.
  • Assistance with day to day activities, including administration duties, helping develop SOP’s, training, Document creation etc.
  • Data entry on SAP, Running SAP reports and queries.
  • Maintain up to date Org Charts.
  • Taking meeting minutes where required for PM.
  • Liaising with Scheduler, Safety Manager, Client, project team ..etc.
  • Developing and maintaining filing systems.
  • General Administration including typing, printing.
  • Cover for the Time Administration of the Project when required.
  • All other duties associated with this role.

Essential Criteria for the Role:

  • Min 2 years relevant experience
  • PC literate with competency in Microsoft Word, Excel, Outlook
  • Ability to liaise and manage all site paperwork
  • Excellent telephone manner
  • Ability to multitask and work under pressure
  • Strong interpersonal and Organisational skills
  • Pride in the quality and presentation of work
  • Experience in the construction or engineering industry advantage but not essential
  • Experience using document management system BIM360 / ACC
  • SAP experience advantage but not essential as full training will be given
  • Country language advantageous.
