About the role

We are seeking an experienced, organized, and proactive Team Assistant & Project Coordinator (m/f/d) to support the department leadership and promote the success and cohesion of our global team.

This role goes beyond traditional assistant tasks. It offers you the opportunity to lead your own projects and actively contribute to the development of team culture, internal collaboration, and operational excellence. You will play an active role as a cultural ambassador to strengthen the team's identity and values.

You will operate at the heart of a dynamic and international team, take responsibility for daily operations, and work closely with leaders and interface partners as a reliable and trusted contact person.

Principal Accountabilities

  1. Comprehensive assistance for the department leadership, including scheduling, travel management, meeting coordination, and preparation of materials and briefings, organization of internal meetings, town halls, offsites, and business reviews
  2. Expense reporting and travel expense management via Concur, as well as invoice processing via SAP
  3. Leading or coordinating internal projects focused on team collaboration, engagement, or process optimization (e.g., onboarding, knowledge management, internal workflows)
  4. Monitoring timelines, responsibilities, and progress
  5. Fostering a positive, inclusive work environment through creative communication formats, team activities, and recognition culture
  6. Maintaining and developing digital tools and platforms (e.g., SharePoint, MS Teams) to support collaboration

Skills and Experience Required

  1. Initial professional experience in an assistant or project coordination role, ideally in an international environment
  2. Excellent MS Office skills and ideally experience with CRM systems, Concur, SAP, SharePoint, or similar tools
  3. Structured, independent, and solution-oriented working style
  4. Strong communication skills and enjoyment in working with people
  5. Fluent in English, both spoken and written
  6. Confident demeanor, initiative, and interest in developing team processes
