The Opportunity

This position is based at our Wiesbaden location within Abbott Diabetes Care - Abbott GmbH. We focus on helping people with diabetes manage their health through innovative products that provide accurate data for better-informed decisions. We are revolutionizing glucose monitoring with our new sensing technology.

In this role, you will provide comprehensive administrative support to the Directors and Managers of the Abbott Diabetes Care EMEAP Headquarters. The team assistant is expected to approach all tasks proactively, conscientiously, and with dedication, ensuring high standards and timely completion.

Your Tasks:

  • Provide administrative support to the Commercial and IT Teams, as well as cross-functional teams within the Abbott Diabetes Care EMEAP Headquarters.
  • Assist with calendar management for Directors, including scheduling 1:1 meetings, team meetings, and conference calls.
  • Arrange travel requirements for Directors and Managers, including visa documentation, hotel bookings, and transfers, in line with Abbott policies.
  • Prepare and submit travel expense reports promptly, adhering to company policies.
  • Organize internal, external, and virtual meetings across Europe using internal systems and in accordance with Abbott policies.
  • Support accounting and finance projects, including supplier selection, invoice processing in SAP/SRM, and credit note management.
  • Coordinate onboarding and offboarding processes.
  • Assist other team members during leave or peak workload periods to ensure continuous support to the HQ Management team.

Your Qualifications:

  • Minimum of 5 years’ experience as an Administrative Assistant.
  • Excellent organizational and planning skills, with a practical work approach and the ability to prioritize tasks.
  • Proactive, collaborative, and communicative team player.
  • Ability to work independently with a professional demeanor, demonstrating strong interpersonal skills across diverse levels and cultures.
  • Strong affinity for numbers, finance, and accounting processes.
  • Proficient in Microsoft Office, SAP (SRM), and other relevant software.
  • Fluent in English and German, both oral and written; additional European language skills are a plus.
