ISR is accredited by the German authorities as an ‘Anerkannte Internationale Ergänzungsschule’ (International Supplementary School) and by the US accrediting agency Cognia (formerly known as AdvancED). ISR is an IB World School authorized to offer the IB Diploma Programme, and also offers Cambridge Assessment International Education (CAIE) IGCSE courses. The school is a certified member of the Council of International Schools (CIS).

We are seeking a skilled and experienced full-time Assistant to join our Secondary School. Secondary School comprises grades 7 to 12. The position of the Assistant (m/f/d) involves administrative, organizational, project, and other duties. The Assistant will work with the Secondary School team and will primarily provide support in the day-to-day running of the school.

Key Roles and Responsibilities

Organizational Tasks

  • Preparation of examination and invigilation timetables.
  • Coordinate and organize meetings of students, parents, and teachers, including sending out email invitations, updating agendas, and taking minutes.
  • Update documentation annually.
  • Organize timetables.
  • Manage timetable and course administration.
  • Manage the calendar of the Secondary School Leadership.
  • Track attendance and discipline.

Administrative Tasks

  • Attend meetings and support administrative requirements.
  • Draft emails and letters on behalf of office staff.
  • Support the Secondary School Team with daily tasks, including updating the Secondary School News, scheduling observations, and managing to-do lists.
  • Perform clerical tasks and administrative procedures.

Projects and Other

  • Support policy and (re-)accreditation processes.
  • Assist the External Exams Coordinator with examinations.
  • Perform data entry as required.

Qualifications

  • Successfully completed commercial training or university studies.
  • Ability to work effectively under pressure in a fast-paced environment and meet deadlines.
  • Preferably, a minimum of three years of proven experience in an administrative or assistant role.
  • Proficiency in office management systems and procedures.
  • Excellent communication skills and a friendly manner.
  • Strong time management skills with the ability to multitask and prioritize.
  • Flexible approach to work and keen eye for detail.
  • Exceptional written and verbal communication skills in English.
  • Basic knowledge of German is desirable.
  • Proficient in MS Office, especially Excel and PowerPoint.
  • Willing to work additional hours when necessary.
