The Heidelberg Institute of Global Health (https://www.klinikum.uni-heidelberg.de/heidelberger-institut-fuer-global-health/) seeks a Senior Coordinator to support the Director in advancing the Institute’s mission to improve health outcomes in low-resource settings through research, education, and international collaboration.



Your tasks

  • Maintain electronic records and a well-organized system for tracking, monitoring and prioritizing the Director’s global tasks and projects.
  • Proactively review upcoming weeks/months and support the Director and Chief of Staff with planning, recognizing potential scheduling conflicts, and making recommendations for how to best allocate the Director’s time/make trade-offs when scheduling issues arise.
  • Serve as a liaison for the Director by responding to inquiries, routing requests appropriately, and ensuring clear, timely, and diplomatic communication with internal and external global stakeholders.
  • Schedule and plan HIGH events, such as internal meetings, external delegations, and external presenters, which may include coordinating agendas and arrangements for participants, handling event logistics, and preparing and disseminating materials.
  • Research and prepare materials for the Director’s meetings, ensuring the Director has all the necessary information and documentation to make informed decisions and drive discussions effectively.
  • Oversee Director’s administrative needs, including expense processing and travel itineraries.
  • Work on special projects as needed. May include conducting desk research and analysis and follow-up on new HIGH global health projects and initiatives across Asia, Africa, and the Americas.


Your profile

  • Master’s degree in Public Health or a related field (e.g., international development, international relations, public administration, business), or a bachelor’s degree with significant experience in global health. A minimum of three years of experience in a fast-paced role supporting multiple stakeholders and managing complex tasks is required.
  • Exemplary time management skills and the ability to identify and anticipate the Director’s needs.
  • Excellent verbal and written communication skills, with the ability to write concisely, express thoughts clearly, and engage diplomatically with individuals from diverse cultural backgrounds at all levels inside and outside the Institute.
  • Demonstrated effectiveness in setting priorities, multi-tasking under pressure, and meeting deadlines in a role requiring independent decision-making, strong organizational and problem-solving skills, and close attention to detail in written materials.
  • Flexibility in meeting changing organizational and team needs accompanied by a willingness to work with shifting role priorities to prioritize collaboration and teamwork.
  • Demonstrated proficiency with MS Office Suite, including Outlook, Teams, PowerPoint, and Excel.
  • Proficiency in English is required; fluency in both English and German is a plus.
