Paymentwall is a cutting-edge cross-border payments platform that enables users to send, receive, and manage funds seamlessly across global and local markets. We are growing rapidly and seek a proactive Administrative Assistant to support our day-to-day office and administrative operations, contributing to the smooth running of our Berlin office and supporting property management activities. Key Responsibilities:

Office Management:

  • Coordinate daily office operations to ensure a smooth, efficient, and professional work environment.
  • Manage office supplies, equipment, and inventory to keep the office fully operational.
  • Organize meetings, appointments, and company events with great attention to detail.
  • Serve as the primary point of contact for vendors, service providers, and building management.
  • Handle correspondence, document management, and various administrative tasks as needed.

Property Management:

  • Oversee the management of commercial properties owned by the business.
  • Coordinate property maintenance, repairs, and inspections to maintain high standards.
  • Liaise with contractors and service providers to ensure properties are well-maintained.
  • Conduct regular property visits and inspections to ensure compliance and upkeep.

Office Renovation and Improvement Projects:

  • Support the planning and execution of office renovation and improvement projects.
  • Coordinate with contractors, vendors, and internal stakeholders to ensure timely and quality completion of projects.
  • Track progress and maintain communication among all involved teams.

Ongoing Collaboration and Support:

  • Assist in hosting office visitors, clients, and summits both locally and at other European locations as needed.
  • Support coordination among office managers, marketing professionals, and company leadership to strengthen internal collaboration and communication.
  • Help organize work processes and provide support to other company offices.

Accounting and Operations Support:

  • Assist with basic accounting tasks such as invoice processing, expense tracking, and budget monitoring.
  • Support operational workflows to enhance efficiency across departments.
  • Help prepare reports related to office expenses, property costs, and vendor payments.

Marketing and Internal Communication:

  • Collaborate with the marketing team to organize company events, summits, and promotional activities.
  • Assist in creating and distributing internal communications to improve employee engagement.
  • Support the coordination of marketing collateral, office branding, and digital presence related to office events.

Qualifications and Skills:

  • Proven experience as an Administrative Assistant, Office Manager, or Property Manager.
  • Strong organizational and multitasking skills, with great attention to detail.
  • Excellent communication skills, both written and verbal, with a professional demeanor.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and property management software (preferred).
  • Knowledge of property laws and regulations in Germany (preferred).
  • Ability to work independently and handle confidential information with discretion.
  • Positive attitude, proactive approach, and a problem-solving mindset.
  • Flexibility to support occasional events, travel for property visits, or collaboration activities as needed.
