Luxembourg public institution is recruiting a

Sample Dispatch Coordinator (m / f)

Type of contract : Full-time and undetermined duration contract (CDI)

for the National Center of Genetics on a permanent, full-time basis (40h / week).

The « Laboratoire national de santé » (LNS) is a public institution under the supervision of the Ministry of Health and Social Security in Luxembourg. It comprises four diagnostic departments in medical biology, microbiology, forensic medicine, and health protection, as well as two national centers in Pathology and Genetics. Support services include administrative and financial departments.

The mission of the LNS is to develop expertise in the prevention, diagnosis, and monitoring of human diseases, serve as a national reference laboratory, and carry out forensic tasks. It also promotes technical laboratory methods in collaboration with local and international laboratories and engages in research and teaching activities.

About the position :

We seek a highly organized, detail-oriented professional to oversee receipt, dispatch, and subcontracting of laboratory samples in a diagnostic genetic laboratory. The role includes managing sample logistics, coordinating subcontracting processes, and leading a team of two laboratory technicians and a secretary. The position requires close collaboration with internal units, physicians, and external labs.

Responsibilities :

  1. Manage daily diagnostic sample handling and testing requests.
  2. Oversee reception, registration, and dispatch of samples internally and externally.
  3. Review samples and test requests, assess medical relevance with physicians.
  4. Select subcontracting labs and coordinate testing, especially in pre- and postnatal contexts.
  5. Supervise sample shipments, ensuring proper handling and compliance.
  6. Follow up on urgent and prenatal shipments for timely processing.
  7. Manage non-conformities and complaints related to samples and requests.
  8. Handle results from subcontracted tests, verify, communicate, and bill.
  9. Respond to prescriber requests and maintain communication.
  10. Develop and update SOPs for dispatching and subcontracting workflows.
  11. Ensure accreditation compliance of processes.
  12. Train and supervise technicians involved in these processes.

Profile :

  • PhD in Genetics, Biomedical Sciences, Laboratory Technology, or related field.
  • Several years of experience in genetic diagnostics or molecular biology in a diagnostic setting.
  • Interest in human genetics and/or cancer genomics.
  • Experience with laboratory specimen handling, logistics, and subcontracting processes.
  • Knowledge of accreditation standards, including ISO15189.
  • Experience with LIMS and bioinformatics tools is an asset.
  • Willingness to take responsibility and improve processes.
  • Excellent organizational, problem-solving, and communication skills.
  • Ability to work under pressure and manage urgent tasks.
  • Team player with a positive attitude and sense of urgency.
  • Fluency in English and either French or German; Luxemburgish is a plus.
