The successful candidate will manage executive-level administrative responsibilities coordinate department-wide organizational activities and act as a key point of contact between the SVP and both internal and external stakeholders.

Key Responsibilities

  • Manage the SVPs schedule meetings travel communications and meeting minutes
  • Track and ensure follow-ups on key actions and deadlines.
  • Act as a liaison between the SVP and both internal and external stakeholders.
  • Handle administrative and organizational tasks for the GQA department.
  • Assist with budgeting cost tracking and financial planning for the department
  • Handle invoice processing for suppliers authorities and service providers.
  • Prepare high-quality presentations reports and documents for senior leadership
  • Organize departmental events including summits workshops and team gatherings.
  • Keep GQA pages on United and SharePoint up to date and well-maintained.
  • Support internal communications to ensure clear and consistent messaging.

Qualifications :

  • Proven experience supporting senior leadership or project coordination in a fast-paced environment.
  • Strong proficiency in Microsoft Office 365 (Outlook PowerPoint Excel Word) SAP and virtual collaboration tools (e.g. Teams SharePoint).
  • Excellent command of English and German both written and spoken.
  • Strong organizational skills with attention to detail and the ability to manage multiple priorities.
  • High level of discretion and professionalism in handling confidential information.
  • Proactive solution-oriented mindset with the ability to anticipate needs and act independently.
  • Strong interpersonal skills emotional intelligence and cultural sensitivity.
  • Resilience and the ability to remain composed under pressure.
