We’re looking for a proactive, detail-oriented, and highly organized Executive Assistant to support several members of our Executive Leadership Team at mobile.de. This is a fantastic opportunity for someone who thrives in a dynamic environment, is passionate about supporting high-impact leaders, and wants to grow alongside an ambitious business.

You’ll be the organizational backbone for your executive leaders—managing calendars, travel, meetings, and communications—while also getting involved in cross-functional projects and process improvements. This role is perfect for someone who enjoys variety, takes initiative, and brings a growth mindset to their work.

You will be joining a small team of Executive Assistants, working closely with other EAs to support the broader C-level team of mobile.de and collaborating with other executive support functions in the other companies that fall under the Adevinta umbrella. We are committed to building a collaborative, supportive environment that allows each assistant to contribute at their highest level.

What You’ll Do:

  • Provide high-level administrative and organizational support to multiple C-level leaders.

  • Manage complex calendars, schedule meetings across time zones, and coordinate international and domestic travel with attention to detail and efficiency.

  • Prepare communication materials to ensure effective and professional communication on behalf of executives.

  • Organize internal and external meetings and company events.

  • Track travel, event, and project-related expenses, ensuring compliance with internal policies.

  • Support and lead operational projects that drive efficiency and improve executive team effectiveness.

  • Continuously identify and implement improvements to administrative processes and workflows.

  • Coordinate with external vendors and internal teams (e.g., Facilities, Learning & Development) to support key executive initiatives.

Who You Are:

  • 3+ years of experience as an Executive Assistant, Team Assistant, or in a comparable senior administrative role—ideally in a fast-paced, international business environment.

  • You’ve supported senior leaders and are confident in managing multiple priorities, stakeholders, and moving pieces.

  • We welcome applications from high-potential candidates with slightly less experience if you bring strong organizational instincts, a proactive mindset, and the ability to learn quickly in a dynamic setting.

  • Fluent in German and English (written and spoken).

  • Exceptionally organized with strong problem-solving skills—you anticipate needs and take initiative before being asked.

  • Discreet and professional, especially when handling sensitive and confidential information.

  • A clear communicator with strong interpersonal skills; confident engaging with people at all levels of the organization.

  • Experienced in coordinating travel, handling expenses, and planning events and team offsites.

  • Proficient in Office/Google Workspace (Slides, Sheets, Docs, Drive) and quick to adapt to new tools and systems.

  • A true team player with a collaborative spirit who enjoys working in an international environment.
