Job Responsibilities :

  • Provide administrative support to the executive team, managing calendars, scheduling meetings, and organizing travel itineraries.
  • Prepare presentations, reports, and correspondence as required by the executives.
  • Handle phone calls and communication on behalf of the executives, ensuring timely responses to inquiries.
  • Maintain an organized filing system for all important documents and project files.
  • Coordinate and assist with special projects as assigned by senior management.
  • Act as a liaison between the executive team and internal / external stakeholders.
  • Support budgeting and expense reporting activities, ensuring compliance with company policies.
  • Assist in event planning and logistics for corporate events and meetings.
  • Perform additional duties as necessary to support the executive team and enhance departmental efficiencies.

Essential Qualifications :

  • Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook).
  • Strong organizational and multitasking skills.
  • Excellent verbal and written communication abilities in English. Proficiency in German is a plus.
  • Ability to work independently and as part of a team.
  • Maintain confidentiality and professionalism in all interactions.

Desired Experience :

  • Minimum of 3 years and maximum of 5 years of experience in an administrative or executive assistant role.
  • Experience in managing calendars and appointments for senior-level executives.
  • Demonstrated ability to prioritize tasks and manage time effectively in a fast-paced environment.
  • Familiarity with office management procedures and basic accounting.
