This role will support the smooth operation of the Central European Management Team (CELT) by providing comprehensive administrative assistance.

Essential Functions

  1. Calendar Management: Organize the daily schedule for CELT to ensure effective use of time, meeting all internal and external meeting requirements.
  2. Travel Coordination: Book and coordinate travel arrangements for CELT within tight deadlines, compile itineraries, and liaise with regional offices to ensure seamless business trips.
  3. Expense Management: Handle expense claims for CELT members within designated timelines.
  4. Cross-Department Coordination: Collaborate with Visa functions to organize meetings internally and with clients, facilitate internal communications, and support administrative activities across the business.
  5. Event Support: Assist with logistics and scheduling of offsite events for CELT members and client study tours, including managing client invitations for sponsored events.
  6. Meeting and Document Preparation: Prepare letters, memos, presentations, and reports, ensuring professionalism and timeliness.
  7. Purchasing Order Management: Raise purchase requisitions and orders, and ensure prompt payment of invoices.
  8. Organizational Updates: Maintain and update organizational charts and mail distribution lists for accuracy.
  9. Stand-in for Other PAs: Support other PAs during their PTO.

This is an on-site position requiring daily presence at the assigned Visa office location.

Basic Qualifications

  • Associate degree or minimum of 6 months of work experience, or a Bachelor's Degree.

Preferred Qualifications

  • 2 or more years of work experience.
  • High School diploma or equivalent.
  • Proficiency in both German and English.
  • Excellent time management and organizational skills.
  • Ability to work collaboratively across all organizational levels.
  • Experience managing multiple tasks under pressure with strong attention to detail.
  • Self-motivated, proactive, and solution-oriented, capable of independent or team work.
  • Experience in a retail, service, or financial organization is advantageous.
  • Strong PC skills, especially in Microsoft Office Suite.
  • Experience organizing and leading meetings.
  • Project management experience.
  • Innovative and willing to challenge the status quo.
