What You’ll Do
Ensure filing systems for all forms of digital and hard copy project historic documentation, design submittals including drawing sets, vendor and contractor product and service documentation and construction material and sample submittals are maintained and up to date.
Ensure protection and security of files and records.
Coordinate and set up internal and external office meetings. Establish and/or distribute meeting agendas, minutes, and other required records.
Maintain a current point of contact (POC) list for all user group project representatives and facilitate early notification for design review interfaces to minimize impact on patient schedules.
Provide German translation support to augment Agent translation services on occasion to meet schedule demands, with written communications to include meeting documentation, design submittals and communications and project news articles, and oral communications to include teleconference and meeting simultaneous translation to assist the office staff as needed.
Generate and maintain an office Standard Operation Procedure (SOP) per directives for office staff reference and new staff orientation.
Assist with in processing and out-processing actions for new office personnel.
Coordinate security/base access, make travel and lodging arrangements, and develop and coordinate travel itineraries and agendas for official visitors/meetings.
Work with government personnel to establish office supply/equipment processes and procedures. Maintain and replenish supply inventory (after obtaining approval from government representatives) and anticipate needed supplies. Prepare supply/equipment orders in accordance with government policies and regulations so that all supplies are on-hand, and no shortages occur. Order all supplies and equipment in accordance with directives coordinated through Program Manager and verify receipt of supplies and equipment. Ensure appropriate equipment is picked up on property book.
Maintain a Program/Project Office monthly calendar of events, recurring meetings, and scheduled leave for all personnel. Provide updated personnel roster on a quarterly basis (or whenever personnel changes occur) and keep Program/Project Office apprised of changes.
Work with government to maintaining all Program/Project Office furniture and equipment to include accountable items and coordinate property inventories facility’s property management office, assisting in or conducting inventories of property.
Serve as primary ThinkProject user supporting document sharing and communications with US and German project team members, inputting design review comments, and other required applications/actions.
What You’ll Have
Supporting this position requires knowledge and application of processes, policies, methods and procedures affecting military health facility construction, outfitting, and transition.
The contractor shall have the experience and ability to organize and plan a design and construction project office and/or specific events in a logical manner and the skill to present and implement such plans in a variety of formats and situations.
The contractor shall be proficient with computer skills and the following software programs: Microsoft Word, Excel, Outlook, and PowerPoint.
The contractor shall be proficient in reading, writing, and speaking the German language. The candidate shall be required to communicate plans, ideas, and instructions effectively both orally and in writing.
The candidate must demonstrate the following skills: excellent and effective interpersonal skills, team building skills, analytical and problem-solving skills, decision making skills, verbal and listening skills, attention to detail and a high level of accuracy, organizational skills, stress management skills, and time management skills.
The candidate must maintain strict confidentiality in performing this task orders duties and not divulge procurement sensitive or personally identifiable information to sources not approved by Program Manager or designated government representative.
Required Education and Experience: The Contractor shall have at a minimum, a bachelor’s level or equivalency degree and at least 1 year of Defense Health Facility Project Office management experience.
