About the Role

We’re looking to strengthen our lean, high-performing team by bringing on a Chief Operating Officer (COO) to lead the efficient and automated scaling of our core business functions. As COO, you will design and implement processes, tools, and operational frameworks to enable rapid scaling—while maintaining agility and efficiency.

The ideal candidate is strategic and hands-on, capable of translating customer needs into automated, scalable solutions, and comfortable engaging with founders and investors on strategy as well as diving into operational details. Responsibilities include:

Operational Excellence & Scalable Processes

• Ensure operational workflows run smoothly and optimize processes continually.
• Create structures aligning Product, Sales, Finance, and Customer Success.
• Ensure the team uses appropriate tools, processes, and methods for top performance.

Finance, Budgeting & Cash Flow Management

• Own the business case, monitor burn rate, and manage budgets and investments with the CEO.
• Handle tax and legal compliance, and manage external partners (accounting, tax advisors, legal).
• Establish finance and controlling structures supporting growth.
• Build scalable customer support and success functions, including onboarding and automated workflows in HubSpot.
• Maintain high data quality standards for customer and contract data management.

Business Intelligence (BI)

• Ensure accurate capture, analysis, and accessibility of BI data from CRM (HubSpot).
• Maintain reporting and dashboards to support data-driven decisions company-wide.

Team & Internal Operations

• Implement collaboration processes (OKRs, meetings, communication) fostering transparency.
• Act as a central interface among Sales, Product, and Finance.
• Collaborate with founders and C-suite to scale the company’s growth.

About You

• Proven experience in operational leadership roles (e.g., COO, VP Operations, General Manager) in startups, tech, or SaaS.
• Skilled in developing and scaling automated processes and high-performing teams.
• Strong analytical skills with a data-driven approach, especially in finance, controlling, and BI.
• Hands-on, proactive, and capable of driving change independently.
• Experience with CRM systems (e.g., HubSpot) and data-driven decision-making is a plus.
• Experience in insurance or insurtech is highly advantageous.
• Fluent in English and German, as German is necessary for daily work due to customer base.
