Single Family Office – Finance & Operations Analyst

The Opportunity

• Join a small, international Family Office with direct exposure to UHNW Principals
• 90% of the role is finance-related administration
• Excellent opportunity for someone with a finance or accounting background who loves Excel, reconciliations, and accurate reporting
• Long-term growth potential into broader Family Office responsibilities

Key Responsibilities

Finance (Core – ~90%)

• Input and process data to produce accurate periodical financial reports
• Retrieve, upload, and reconcile raw financial data for reporting purposes
• Prepare and issue invoices as required
• Track reimbursements and submit information on behalf of the clients
• Categorise and maintain monthly expense records
• Organise and execute the weekly payment run
• Draft, input, and process payments upon instruction
• Execute stock trades on Interactive Brokers (IBKR) and other platforms following client instructions, with accurate follow-up reporting
• Monitor liquidity and payments across banking and investment accounts
• Complete KYC forms and maintain compliance documentation for banks and institutions
• Support ad-hoc finance-related tasks as required

Private Desk (Secondary)

• Data input and admin support
• Health insurance claims
• Light calendar tasks and ad-hoc personal requests

Estate & Household (Occasional)

• Track suppliers, contracts, and property records
• Support household projects

General Operations (Occasional)

• Maintain files, databases, and inventory
• Provide ad-hoc support to the wider team

What We’re Looking For

• Solid education in finance or accounting principles
• Strong numerical and analytical skills, detail-oriented and accurate
• Advanced Excel proficiency (pivot tables, lookups, reconciliations)
• Understanding of banking, investment liquidity, and payments
• Familiarity with online trading platforms (IBKR a strong plus), willing to execute trades
• Comfortable completing KYC forms and compliance documentation
• Tech-savvy (Mac OS, Gmail, basic IT troubleshooting)
• Fluent in English; Spanish a strong plus
• Proactive, organised, and eager to learn and expand responsibilities
