Shipping & Receiving Coordinator Junior

Job Description

The Shipping and Receiving Coordinator Junior is responsible for the local and international transportation of goods, including the coordination and supervision of the local fleet of vehicles in the host country, among other administrative tasks related to Finance operations.

Duties / Responsibilities

  • Coordination of the local fleet of vehicles, establishing routes to/from the venues on a daily basis
  • Processing the Material Transfer Forms and transport requests
  • Preparing the Loading Plan to guide the warehouse personnel on what to load onto each truck, on a daily basis
  • Supervising the correct completion of the transport requests
  • Liaise with internal and external clients regarding the status and whereabouts of their transport requests
  • Keep track of dates, volumes, vehicles, and other administrative data, on Excel, Smartsheet, and other software
  • Communicate orally, via phone, and in writing, via email or chat applications, with the Organizing Committee staff, internal and external personnel at the venues, and other OBS departments
  • Solve logistic issues when they arise and report to management complex or recurrent problems
  • Review and obtain all required documentation for the correct execution of the transport orders, such as Accreditations for the vehicle and the drivers, access passes to the venues, correct sealing of the vehicles, and delivery slots at the venues
  • Check and register the cargo loadings to ensure that the correct cargo is being loaded, and to solve any issue that may arise regarding cargo distribution according to the transport requests received
  • Keep track and process financial data such as costs and invoices

Experience / Skills

  • Excellent command of English and Italian, verbal and written.
  • Experience preferred but not necessary in trucking, warehousing, international logistics, and purchase orders.
  • Good knowledge of the Administration tools (MS Office, SAP, etc.), especially Excel.
  • Proactive, team worker, responsible, careful, exhaustive, perfectionist, and pay attention to details.

  • Fast paced work environment.
  • Operations are based in the OBS Warehouse in Vignate.
  • Full time shift work including evening and weekends.
  • Subject to national / international criminal background checks.
  • Good use of Excel.
  • Fluent in English.
