For our team we are looking for an Executive Assistant to the Accountable Manager and Board of Directors who will be based in Malpensa area, Italy.

Duties and responsibilities:

• Manage the daily schedule, calendar and appointments of the Accountable Manager.
• Organise meetings, briefings and internal/external engagements.
• Prepare meeting agendas, minutes, reports and follow-up action lists.
• Handle confidential correspondence and documentation with discretion.
• Support the Accountable Manager with ongoing projects and follow-ups.
• Coordinate all Board of Directors meetings, logistics, documentation and communication.
• Prepare and distribute Board packs, briefings and supporting materials.
• Record accurate minutes of Board meetings and track action items.
• Liaise with Board members on scheduling, travel and administrative requirements.
• Monitor deadlines and ensure timely completion of required tasks.
• Help with daily time management.
• General office administration.

Minimum requirements:

• At least five (5) years of relevant work experience as an Executive Assistant, Personal Assistant or in a similar administrative role.
• Knowledge of the aeronautical industry will be an advantage.
• The candidate should possess good communication skills, attention to detail, customer service skills, organization skills, problem-solving and trustworthiness.
• Resilient under pressure with the ability to maintain focus in a dynamic environment.
• Computer literacy in MS Office.
• Language proficiency in Italian and English.
