We are seeking a highly organized and proactive Operations & Admin Manager to oversee the firm’s operational, administrative, and legal-support activities. The ideal candidate will ensure the smooth execution of daily operations, coordinate legal and administrative documentation, manage relationships with key stakeholders, and support internal governance and reporting processes.

This role requires strong organizational skills, attention to detail, and the ability to interact effectively with consultants, shareholders, and institutional partners while managing multiple priorities in a dynamic environment.

Key Responsibilities

  • Coordinate the preparation, compilation, and filing of legal and administrative documents required for operational and advisory processes.
  • Review legal documentation related to investment and advisory activities (e.g., NDAs, term sheets, engagement letters, investment agreements).
  • Liaise with external consultants—including legal advisors, notaries, accountants, and banks—to ensure compliance, accuracy, and timely completion of documentation.
  • Support the management of relationships with shareholders by preparing updated reports, summaries, and relevant communication materials.
  • Maintain effective relationships with institutional stakeholders and service providers to support seamless operational activities.
  • Support the administrative preparation and monitoring of the company’s annual budget.
  • Contribute to internal performance reviews by gathering, structuring, and presenting KPIs and operational data.
  • Prepare presentations, internal reports, and operational memos for management and external parties.
  • Oversee the proper management, archiving, and safeguarding of sensitive legal and administrative documentation.
  • Monitor regulatory developments relevant to the company’s operations and ensure appropriate alignment of internal processes.
  • Provide general administrative support to management and internal teams.

Qualifications

  • At least 2 years of professional experience in investment management, corporate finance, corporate law, operations, or administrative management.
  • Demonstrated exposure to legal documentation, including NDAs, term sheets, engagement letters, and similar agreements.
  • Strong proficiency in Microsoft Excel, PowerPoint, and AI-based productivity tools.
  • Master’s degree in Business, Law, or a related field.
  • Excellent organizational, analytical, and communication skills.
  • Proven ability to manage multiple projects, prioritize effectively, and meet tight deadlines.
  • Full professional proficiency in English.
  • Professional certifications are considered an advantage.
