Executive & Operations Assistant

Location: Bastiglia, Modena (On-site)

Contract Type: Full Time / Permanent

We’re seeking a proactive and organised Executive & Operations Assistant to work closely with our CEO, keeping projects, people, and priorities running smoothly. This is not your typical assistant role - you’ll be at the heart of our operations, combining executive support, coordination, CRM management, marketing follow-up, and internal communication. What You’ll Do :

  • Executive Support : Manage the CEO’s calendar, emails, calls, and correspondence.
  • Handle travel arrangements, event logistics, and meeting preparation.
  • Occasionally represent the CEO at meetings or events in Italy.
  • Operations & CRM : Maintain and update the CRM, ensuring timely follow-ups with clients and partners.
  • Align projects and deliverables across the CEO, CTO, and Project Manager.
  • Support commercial offers and client communication.
  • Marketing & Communication : Identify opportunities for visibility (events, awards, media features).
  • Update website and social media channels with news, milestones, and events.
  • Coordinate with designers or agencies for visual materials.
  • Internal Coordination : Act as the operational link between the CEO and the wider team.
  • Keep projects organised, priorities clear, and deadlines on track.
  • Ensure smooth internal communication when the CEO is abroad.

What We’re Looking For :

  • Based in or near Modena (this is an on-site role).
  • Fluent in Italian and English (spoken and written).
  • Highly organised, proactive, and communicative.
  • Comfortable using CRM systems, Google Workspace / Microsoft Office, LinkedIn, and basic CMS tools (WordPress / Wix).
  • Experience in a startup or fast-paced environment is a plus.
  • Positive, hands‑on, and solution‑oriented - someone who gets things done.

Salary : €34,000 - €40,000 (dependent on experience)

Travel : Occasional trips within Italy
