Overview

The ideal candidate is a detail-oriented team player who will be the first point of contact for visitors at the office, greeting them in a polite and well-spoken manner. You will also be assigned duties as required (i.e. organization of inbound and outbound mail, administrative work, and general clerical support).

Responsibilities

  • Greeting and welcoming visitors, providing information and escorting them to the appropriate department or person.
  • Answering and directing incoming phone calls, responding to emails, and taking messages;
  • Managing calendars, scheduling and confirming appointments for individuals or meeting rooms;
  • Monitoring visitor logs, issuing security passes, and ensuring the efficient flow of people through the business;
  • Filing documents, maintaining electronic databases, and keeping office records up-to-date;
  • Maintaining the cleanliness and organization of the reception area, and ensuring efficient daily operations;
  • Stationery orders and various needs;
  • Bring coffee to visitors and set up meeting rooms;
  • Support in organizing events / meetings and their execution;
  • General administrative support.

Required Competencies and Knowledge

  • High school or professional diploma;
  • Minimum 1 year experience in similar role in a structured company;
  • Excellent knowledge of Microsoft Word, Excel and Outlook for data management and communication;
  • Excellent proficiency in Italian and English language (written and spoken).
