Overview

We are looking for the Legal & Administrative Assistant who will work within the Group Litigations Unit, within the Group Legal Affairs Department.

Key responsibilities of the role will include:

  • Managing all the administrative activities related to the engagement of external counsels of the Group Legal Affairs Dept, including contacts with Italian and foreign providers
  • Managing the required internal procurement processes for the payment of invoices
  • Monitoring the budget assigned to the Group Legal Affairs dept
  • Managing the purchase of goods and services for the Group Legal Affairs Dept (e.g. books, subscriptions, translations)
  • Managing the physical and digital archive
  • Managing IT configuration and logistics for new resources
  • Managing legalization of documents including contacts with notary public
  • Managing the organization of meetings
  • Managing under the supervision of colleagues within the team the drafting of declaration to creditors in the context of third party seizures and other requests from authority
  • Supporting colleagues within the team in the drafting of declarations to creditors in the context of third-party seizures and in responding to other requests from other judicial authorities

Requirements

Our ideal candidate will meet the following requirements:

  • High school diploma, preferably with a focus in Administrative, Economic or Linguistic studies
  • At least 3 years of experience in similar roles in international law firms and/or large organizations
  • Strong knowledge of MS Office (including Copilot and similar AI tools)
  • Fluent English and Italian; knowledge of any other foreign language will be considered a plus.
