Position Overview

JLL is seeking a detail-oriented and proactive Office Assistant to provide comprehensive administrative support to our Life Sciences account in Milan. This role will support the delivery of exceptional facility management and real estate services.

Key Responsibilities

  • Monitoring and verification of scheduled and extraordinary maintenance with monthly entries in the management software
  • Daily monitoring of plant operation with related BMS management
  • Monthly execution of fire surveillance checks
  • Management and issuance of Johnson & Johnson employee and contractor badges
  • Management software for booking and use of desks and parking spaces

CAFM (Computer-Aided Facility Management)

  • Creation and updating of files related to Johnson & Johnson employees (car locker floor location)
  • Administrative support for monthly reporting and invoicing
  • Support for Duty Light Maintenance
  • Backup for logistics services (warehouse, bank, postal service, notary, etc.)

Required Qualifications

Education & Experience

  • 2 years of administrative or office support experience
  • Experience in professional services environment preferred
  • Facility management or real estate industry experience a plus

Technical Skills

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Experience with database management and CRM systems
  • Basic understanding of project management tools
  • Familiarity with digital filing systems and document management
  • Ability to learn new software systems quickly

Panoramica della Posizione

JLL ricerca una figura di Office Assistant orientata ai dettagli e proattiva per fornire supporto amministrativo completo al nostro account Life Sciences a Milano. Questo ruolo supporterà la logistica di servizi eccellenti di facility management e immobiliari.

Responsabilità Principali

  • Monitoraggio e verifica della manutenzione programmata e straordinaria con inserimenti mensili nel software gestionale
  • Monitoraggio quotidiano del funzionamento degli impianti con relativa gestione BMS
  • Esecuzione mensile dei controlli di sorveglianza antincendio
  • Gestione ed emissione di badge per dipendenti e contractor Johnson & Johnson
  • Software gestionale per prenotazione e utilizzo di postazioni di lavoro e parcheggi

CAFM (Computer-Aided Facility Management)

  • Creazione e aggiornamento di fascicoli relativi a dipendenti Johnson & Johnson (auto armadietti posizione nel piano)
  • Supporto amministrativo per reportistica mensile e fatturazione
  • Supporto per Duty Light Maintenance
  • Backup per servizi logistici (magazzino, banca, servizio postale, notariato, ecc.)

Qualifiche Richieste

  • 2 anni di esperienza in supporto amministrativo o ufficio
  • Esperienza in ambiente di servizi professionali preferibile
  • Esperienza nel facility management o nel settore immobiliare costituisce un plus

Competenze Tecniche

  • Competenza in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Esperienza con gestione database e sistemi CRM
  • Comprensione di base degli strumenti di project management
  • Familiarità con sistemi di archiviazione digitale e gestione documenti
  • Capacità di apprendere rapidamente nuovi sistemi software
