Academic Program Organization Specialist

Mission of the Role

The candidate will join the Academic Programs Organization team and will manage activities related to academic calendar planning, organization of degree program teaching activities (planning and management), allocation of teaching and study spaces, and graduation session scheduling. In collaboration with office staff and in coordination with diverse stakeholders (faculty, course managers, students), the person will oversee both long-term academic planning and the daily management of operational requests. The role also involves participation in innovation projects, contributing to the review and optimization of organizational and administrative procedures.

Key Responsibilities

  • Planning of academic calendars
  • Scheduling of teaching activities (course timetables) and examinations
  • Ongoing management of teaching and examination schedules during the academic year; maintenance of teaching activity records; management of examination boards
  • Allocation of spaces for teaching activities (classes) and examinations; management of room bookings and changes for events and other activities; assignment of study rooms and study spaces
  • Planning of graduation sessions, composition and management of graduation boards
  • Handling of student requests through dedicated tools (e.g. BinTouch), with a focus on resolving critical situations
  • Preparation of reports and data analysis to support the office’s activities
  • Monitoring, design, and management of enhancements to the office’s IT systems
  • Coordination with process stakeholders for activity management and operational urgencies
  • Active involvement in process innovation projects

Requirements

  • Bachelor or Master Degree
  • Previous working experience in the University field will be strongly appreciated
  • 3–5 years of experience in the organization and management of complex processes, with expertise in scheduling calendars and timetables, classroom and exam management, and collaboration with academic stakeholders (faculty, students, administrative offices)
  • Excellent written and oral communication skills in both Italian and English
  • Study or work experiences abroad
  • Proficiency in MS Office (particularly good knowledge of Excel and Access is appreciated)
  • Experience with management software applications and strong aptitude for continuous learning of digital skills
  • Strong analytical skills, with familiarity in managing, analyzing, and building datasets
  • Ability to drive process improvement and innovation, contribute to the review and optimization of management procedures, and adopt a proactive approach to change with attention to stakeholder engagement
  • Excellent interpersonal skills, proactivity, energy, strong sense of commitment, and operational effectiveness
