People Admin Coordinator

Join EF to support HR administration in Italy as a People Admin Coordinator. The role focuses on compliance with Italian labor laws, preparing employment documents, and coordinating payroll.

Role Overview

The People Admin Coordinator provides administrative and operational support to the HR Administration in Italy. This role ensures compliance with Italian labor laws, assists in preparing employment related documents, and acts as a point of contact for employees regarding HR and payroll-related queries. The position works closely with the Payroll Specialist to guarantee accurate and timely payroll processing.

Key Responsibilities

  • Employment Documentation
    • Prepare and manage employment contracts, amendments, and termination letters in compliance with Italian labor regulations.
    • Maintain accurate employee records and ensure timely updates in HR systems.
  • HR Support & Compliance
    • Respond to employee inquiries about company policies and HR procedures.
    • Ensure employment processes comply with local labor legislation and company standards.
  • Payroll Coordination
    • Collaborate with the Payroll Specialist to provide accurate data for monthly payroll (new hires, terminations, salary changes, leave, benefits).
    • Act as a bridge between employees and the payroll team.
  • Administrative Tasks
    • Support onboarding and off‑boarding processes, including documentation and system updates.
    • Collaborate with our external HR advisor.

Qualifications & Skills

  • Education: Bachelor’s degree in HR, Business Administration, or related field.
  • Experience
    • 2+ years in employment administration or payroll support.
    • Knowledge of Italian labor laws and compliance requirements.
  • Skills
    • Strong attention to detail and organizational skills.
    • Excellent communication skills in Italian and English.
    • Proficiency in HRIS and MS Office tools.
    • Experience with Oracle HCM.
