  • Jefferson Wells is recruiting, on behalf of a client company, an Executive Assistant to support two C-Level Executives and Board Members

Key Responsibilities :

  • Act as the first point of contact, handling calls, emails, and correspondence
  • Manage calendars and schedule meetings and appointments
  • Organize travel arrangements, including transportation and accommodation
  • Monitor deadlines and proactively remind the executives of important tasks
  • Draft, edit, and format reports, presentations, and correspondence
  • Maintain databases, digital files, and physical filing systems
  • Develop and implement effective administrative procedures and processes
  • Communicate and coordinate with internal departments, external stakeholders, suppliers, and clients
  • Prepare, submit, and track expense reports
  • Conduct research and compile relevant information on behalf of the executives
  • Provide support with personal tasks and commitments when required

Requirements :

  • Proven experience in a similar role, ideally supporting senior executives or board members
  • Excellent organizational and time management skills, with the ability to prioritize and multitask effectively
  • Exceptional written and verbal communication skills in English
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other productivity tools
  • Strong attention to detail and a proactive, problem-solving attitude
  • High level of professionalism, discretion, and confidentiality
  • Flexibility and willingness to work outside of standard office hours when needed
  • Enthusiasm for coordinating projects and events
  • Confidence in preparing spreadsheets, reports, and presentations
  • Self-motivated, dependable, and able to work independently as well as part of a team

  • Salary : Commensurate with experience
  • Remote work (Smart working) : To be agreed with direct managers
