The Data and Ticketing Assistant will support in the development, maintenance and reporting of all data relating to guests of the dedicated client’s programme. They will also be responsible for assisting and supporting ticketing operations which includes creating an efficient ticket allocation and distribution system and working closely with the Guest Communications Team and the Ticketing Department. This is a contract role starting on the 5th of Jan and ending on the 23rd of Feb 2026. We are only able to consider candidate that live or have accommodation in Milan.

Key Responsibilities

  • Supporting with the late stage set up and finalization of systems and supporting documentation

  • Support queries and data changes, pre-event and onsite by email, phone and face-to-face

  • Support the production and distribution of regular reports for clients, service providers and project teams

  • Develop and manage professional working relationships with the client, service providers and project teams to ensure clear and open lines of communication

  • Communicate with all relevant parties any data changes as necessary

  • Support the management of changes and queries in a prompt and professional manner

  • Adhere to General Data Protection Regulation (GDPR) and other event location Data Regulations

  • Develop a thorough understanding of seating configurations for all relevant venues

  • Establish a thorough understanding of procedures for unused/ unallocated tickets, ticket changes, venue or schedule changes and transportation delays

  • Assist with the preparation of venue maps and event information for distribution to guests and program team as required

  • Assist with digital distribution of ticketing to guests on arrival days and throughout the program

  • Support the development of onsite training of all ticket procedures for relevant team members

  • Ensure accuracy and confidentially with regards to guest data

  • To provide a professional and seamless ticket distribution service to guests

  • Be fully aware of all ticketing systems and the ticketing regulations

  • Assist in the management of changes to any ticketing procedures or programme alterations

  • Be pro‑active in monitoring all ticketing operations

  • Become conversant with each relevant stadium / Venue and its associated seating schematics

  • Assist in the process of allocating seating for each event and venue to guests

  • Assist in developing operating systems that ensure the smooth allocation and distribution of tickets to guests and other recipients

  • Update the ticket database daily

  • Assist and support the Manager in ensuring all ticketing issues are dealt with promptly and efficiently and the right tickets are delivered to the right guests, on time and in a friendly, efficient manner

  • Provide an organised, efficient and friendly service to all guests

  • Report any issues promptly to the Ticketing Manager

  • Assist in ensuring all security systems are followed through to the letter

  • Assist in the implementation of ticket distribution system for the internal iLUKA Collective team whilst ensuring it remains in check and at the same time, totally service oriented

  • Where necessary, provide other departments with daily ticketing reports in order to provide up-to-date, accurate information to assist with the overall running of the programme

  • Disseminate accurate information on ticketing issues as and when required

    This is not an exhaustive list and all team members will be expected to contribute to any other aspects of the business, as necessary

Skills, Knowledge, Expertise

  • Fluent in English and Italian

  • Experience using various databases/ guest management systems

  • Experience managing and reporting on large volumes of data

  • Excellent IT skills, Excel, Word, PowerPoint - confident using different platforms and devices

  • Project management experience

  • Strong communication skills, both written and verbal

  • Organised with an analytical background and an eye for detail

  • Strong time management skills with ability to meet strict deadlines

  • Proactive, positive approach to all tasks and a high degree of reliability
