We are looking for an Executive Assistant.

Translated is seeking a highly diligent and motivated Executive Assistant, based in Rome, to support our CEO.

The ideal candidate will be adept at meeting tight deadlines and managing multiple internal and external requests in a calm, friendly, and efficient manner. They must handle confidential and sensitive information and work professionally with senior business executives and policy stakeholders.

A good sense of humor is critical, as is the ability to prioritize and shift direction at a moment’s notice. The candidate should complete complex tasks and projects quickly with minimal guidance, anticipate team needs, and react with urgency to unexpected developments.

Responsibilities

• Schedule Management: Organize and maintain the CEO’s daily calendar, scheduling appointments, meetings, and engagements.
• Communication Handling: Screen and respond to calls and emails, managing correspondence and addressing routine inquiries.
• Travel Coordination: Arrange travel itineraries including flights, accommodations, and transportation, ensuring smooth logistical operations.
• Administrative Support: Assist with various administrative tasks such as filing, data entry, and document preparation.
• Personal Tasks: Perform personal errands and tasks to support the CEO in managing both professional and personal responsibilities.
• Information Management: Organize and maintain files, ensuring important documents are easily accessible and current.
• Meeting Preparation: Prepare agendas and documentation for meetings, and take notes or minutes as necessary.
• Confidentiality: Maintain discretion and confidentiality in handling sensitive information and situations.

Requirements

• A minimum of 3 years of executive support experience in a mid-to-large organization is required, preferably in a fast-paced, multi-stakeholder environment within a corporate or public policy setting.
• BA/BS degree or equivalent experience required.
• Excellent written and spoken English proficiency.
• Good proficiency in Google Suite (Docs, Sheets, Calendar, etc.).

Preferred Qualifications

• Proficiency in Italian and English.
• Positive, proactive, calm, and flexible under pressure.
• Ability to enjoy work and promote fun in a remote, international team environment.
• Capability to manage administrative details independently, keeping stakeholders informed.
• Confident in applying sound business judgment.
• Strong business acumen with a knack for identifying gaps and implementing improvements.
• Experience in event planning and space management.
• High level of integrity and discretion in handling confidential information.
• Ability to remain composed and flexible when switching tasks abruptly.
• Exceptional written and oral communication skills.
• Experience in an international matrix organization.
• Experience working with government and policy stakeholders.
• Experience collaborating across countries and time zones in a global setting.
