Overview
At Brightstar Lottery we have an exciting opportunity for executive administrative support and project coordination supporting 3 Lottery Supply Chain & Services Vice Presidents. This role will be a mix of traditional Executive Administrative work along with project coordination across the Supply Chain & Services team and the broader Brightstar Lottery global organization. We are looking for applicants who have a constant record of high achievement, professionalism, reliability, and excellent organisational skills. Position is based in Rome, Italy.
Responsibilities
- Manage and schedule daily calendar and business activities across different time zones while using sound judgement to maximise time and meeting cadence.
- Arrange business travel, complete travel & expense reports, and manage logistics of travel‑related activities.
- Coordinate and drive effective cadence of functional staff operating meetings by preparing agendas, presentations, and logistics.
- Provide administrative support for day‑to‑day operations and coordinate high value / cross‑functional initiatives and projects.
- Prepared written reports, communications, and other materials as required.
- Develop a sound understanding of current business issues and be able to provide timely support to the executive. In addition, this role will act as a liaison and a problem solver.
- Working with the executives to establish strategic priorities and leverage internal stakeholders both formally and informally to learn organisational insights; acting where necessary to get ahead of issues before they rise to the executive’s attention.
- Manage invoices with consultants and vendors.
- Participate as needed in projects to solve complex problems, department, or organization‑related work. Analyse problems, compile, and analyse data, and prepare reports/recommendations.
- Become a central point of contact for the coordination of the executive’s activities and ensure preparation of relevant documents and briefing material. In addition, creating and maintaining weekly/monthly/quarterly department reports as directed.
- Occasional international travel.
Qualifications
- Bachelor’s degree in business administration or related field. MBA a plus but not required.
- A minimum of 5 years of advanced administrative/project coordination experience working with senior level management.
- Must be fluent in Italian & English.
- Advanced experience with Microsoft Office (Outlook, Word, PowerPoint, Excel).
- Positive can‑do personality and ability to be forward thinking.
- Ability to successfully manage multiple projects simultaneously.
- Highly organised, detail‑oriented self‑starter who is resourceful and can think outside the box.
- Strong organisational skills and the ability to be extremely flexible while managing conflicting, shifting, and competing priorities with minimal supervision.
- Strong communication skills (written and verbal), with the ability to effectively communicate and collaborate with a diverse range of people and job functions in different time zones.
- Build strong working relationships with colleagues, team members and staff located in different locations.
- Self‑motivated with the ability to exercise independent judgement with minimal direction from senior management.
- Demonstrated ability to anticipate issues that may arise while taking initiative and acting with a high level of sense of urgency.
